Office Manager - Boutique Interior Design Firm

Interior Design Studio | Small Collaborative Team

We are a boutique interior design firm seeking a highly organized and proactive Office Manager to support daily operations and help keep our design studio running smoothly. This role is ideal for someone who enjoys working in a creative environment and thrives in a fast-paced, detail-oriented setting.

As a key member of our small team, the primary role of the Office Manager will be to handle all proposals, procurement, purchase orders and claims regarding damages. Tracking all orders and running reports. Additionally, the Office Manager will provide administrative coordination, support design projects, manage office systems, and serve as a friendly point of contact for clients and vendors. Key Responsibilities

Office & Administrative Management

  • Oversee day-to-day office operations for a small design studio
  • Assist in managing calendars, meetings, and project timelines
  • Handle incoming calls, emails, and general correspondence
  • Order office supplies and maintain studio organization

Project & Design Support

  • Assist with tracking design projects and deadlines
  • Coordinate orders, deliveries, and vendor communications
  • Handle all logistics, claims and damaged product delivers
  • Maintain project binders, specifications, and documentation
  • Help prepare client presentations, proposals, and invoices
  • Support designers with product sourcing and administrative tasks

Client & Vendor Coordination

  • Serve as a welcoming first point of contact for clients and vendors
  • Track orders and follow up on shipments and installations
  • Maintain vendor relationships and product information

Financial & Business Support

  • Assist with, purchase orders, deliveries and coordination of billing with bookkeeping
  • Coordinate with bookkeeping or accounting services
  • Support basic HR tasks as needed

Qualifications

  • Strong organizational and multitasking skills
  • Excellent written and verbal communication
  • High attention to detail and problem-solving ability
  • Comfortable working in a small team environment
  • Proficiency with Google Workspace, Microsoft Office, or similar tools
  • Experience with project management software or design industry tools is a plus, specifically Studio Design Webware
  • Previous office management, administrative, or design studio experience preferred

Position Details

  • Three quarter time; 30-35 hours per week
  • In-office position
  • Competitive compensation based on experience
  • 401k sharing, paid vacation, cell phone allowance

Pay: $50,000.00 - $65,000.00 per year
