Office Manager/Field Service Dispatcher

Full-Time | Administration & Operations | Reports to: VP Field Operations and CCO

Position Overview

Key-Tech Services is seeking a highly organized and proactive Office Manager and Field Maintenance Dispatcher to serve as the operational backbone of our administrative function. This individual will work closely with the President, CCO, and VP of Field Installation to coordinate internal operations, manage administrative workflows, and ensure our growing team has the support structures needed to perform at a high level. The ideal candidate thrives in a fast-paced, project-driven environment and takes ownership of the office with minimal supervision.

Key Responsibilities

  • Overseeing Maintenance Dispatch service requests, field communications and problem resolution tracking and administration
  • Manage the daily administrative operations of the KTS office, including facilities, supplies, specific vendor relationships, and equipment
  • Serve as the primary point of contact for internal administrative requests from maintenance field teams, maintenance leads and technicians, and leadership
  • Coordinate scheduling, travel arrangements, and logistics for senior leadership and field personnel
  • Maintain and organize company documentation including contracts, HR files, insurance certificates, compliance records, and vendor agreements
  • Assist with HR administration including onboarding documentation, offer letters, I-9 compliance, and employee file maintenance
  • Coordinate with our third-party accounting agency and internal finance personnel on invoice processing, expense reporting, and AP/AR documentation
  • Manage company communications including inbound calls, external correspondence, and mail handling
  • Track and renew business licenses, insurance policies, and other compliance-related deadlines
  • Maintain and improve internal filing systems (digital and physical) to ensure document accessibility and version control
  • Assist in preparing reports, presentations, and project documentation for leadership and client use
  • Coordinate office events, team meetings, and training sessions; manage catering, conference logistics, and visitor coordination
  • Support special projects and strategic initiatives as directed by the President or CCO

Required Qualifications

  • 3–5 years of dispatch, office management and/or administrative experience, preferably in a professional services, construction, or field services environment
  • Excellent organizational skills with a proven ability to manage competing priorities and deadlines
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace
  • Demonstrated experience handling confidential HR and financial information with discretion
  • Clear and professional written and verbal communication skills
  • Resourceful self-starter with strong problem-solving ability and a high degree of initiative
  • Experience supporting senior leadership and operating in a small-to-mid-sized company environment

Preferred Qualifications

  • Experience in project-based industries (technology integration, construction, field services, or government contracting)
  • Familiarity with QuickBooks Online or similar accounting platforms
  • Prior HR coordination experience including onboarding, offboarding, and compliance documentation
  • Experience managing relationships with external vendors, subcontractors, and agency partners

Compensation & Benefits

Salary Range

$52,000 – $68,000 annually, commensurate with experience

Full-Time | Hybrid – Work from Home with 2 days in office per week
