Key Responsibilities:
Office Management Duties
- Oversee daily office operations to ensure a professional working environment.
- Supervise administrative staff, reception, and support teams.
- Manage office facilities, supplies, vendors, and service providers.
- Maintain filing systems, records, and documentation (digital and physical).
- Ensure compliance with RAKEZ/UAE regulatory requirements (visas, WPS, MOHRE, etc.).
- Assist in budget preparation for office operations and track expenses.
- Organize company-wide events, staff meetings, and employee engagement activities.
Executive Assistant Duties
- Manage the CEO’s calendar, scheduling, and prioritization of meetings.
- Organize board and executive meetings, prepare agendas, take minutes, and track action items.
- Draft, review, and manage confidential correspondence, reports, and presentations.
- Handle travel arrangements (flights, visas, hotels, transport) and prepare itineraries.
- Act as a point of contact for stakeholders, ensuring timely communication.
- Remind the CEO of important deadlines, follow-ups, and deliverables.
Qualifications & Skills:
- Bachelor’s degree in Business Administration, Management, or related field.
- 5–7 years of experience in administration, office management, or executive assistant role.
- Proven ability to support C-level executives.
- Excellent communication skills in English (Arabic / Russian is an advantage).
- Strong leadership and people management skills.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and scheduling tools.
- Highly organized, detail-oriented, and able to handle multiple priorities.
- Strong discretion and ability to handle sensitive/confidential information.
