Job Summary

This position provides administrative and operational support to the i-Learning and Extension teams within the College of Veterinary Medicine. The Office Manager oversees office functions, manages communications and outreach efforts, and ensures alignment with college and campus-wide strategic priorities.

Duties & Responsibilities

    • Social Media & Communications
    • Create and manage content across social media platforms (Instagram, Facebook, LinkedIn) to increase engagement and visibility.
    • Create and disseminate email and text communications to current and prospective students as well as other stakeholders.
    • Monitor and respond to comments, messages, and inquiries across platforms.
    • Maintain a content calendar and ensure that emails are scheduled appropriately.
    • Provide analytics and performance reports to inform strategy.
    • Event Planning & Coordination
    • Plan and coordinate office events, including the annual conference, graduation, and orientation.
    • Manage event logistics, communications, and materials in collaboration with internal and external stakeholders.
    • Program & Student Support
    • Respond to inquiries from prospective and current students via email, phone, and in person.
    • Process scholarship applications and payments in accordance with program policies.
    • Assist with student recruitment efforts through outreach and communication activities.
    • Support goal-setting and strategic planning based on feedback from students, alumni, and industry partners.
    • Administrative Operations
    • Provide administrative support to faculty and staff, including scheduling meetings and coordinating logistics.
    • Prepare reports, meeting materials, and other documents as needed.
    • Record and distribute meeting notes and maintain organized records.
    • Process travel requests and submit expense reports using university systems.
    • Reconcile office expenses and maintain accurate financial records.
    • Maintain office supply inventory and ensure operational readiness.


Additional Physical Demands

Frequent use of the computer and phone.
Ability to manage multiple deadlines in a fast-paced environment.

Minimum Qualifications

1. High school diploma or equivalent.
2. Two (2) years (24 months) of work experience comparable to the third level of this series.

Knowledge, Skills and Abilities

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and social media management tools.
  • Strong written and verbal communication skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Familiarity with University systems such as TEM, P-card, and i-Buy.
  • Experience with content creation, analytics, and digital engagement strategies.
  • Strong organizational skills and attention to detail.
  • Ability to work independently and exercise sound judgment.

Appointment Information

This is a 100% full-time Civil Service 3266 - Office Manager position, appointed on a 12-month basis. The expected start date is as soon as possible after 11/1/2025. Salary is commensurate with experience.
