Office Manager - Luxury

The Office Manager will act as a central point of coordination across teams, supporting a highly polished, efficient, and welcoming office environment. This individual will also play a key role in supporting internal events and employee engagement initiatives, contributing to a strong and connected company culture.


This role is based in Midtown New York and requires in-office presence five days per week.



Key Responsibilities

Office Operations & Facilities

  • Oversee daily operations of the corporate office, ensuring a clean, organized, and high-standard environment
  • Manage reception and front-of-house experience, including mail, deliveries, and visitor coordination
  • Serve as the primary point of contact for all office-related needs, including conference room coordination and general support
  • Partner with building management and vendors to oversee maintenance, repairs, and facility services
  • Manage office supplies, equipment, and purchasing in alignment with company policies and budgets
  • Coordinate office layout, seating arrangements, and internal moves
  • Ensure all shared spaces and resources are maintained to a consistently high standard


Vendor Management & Procurement

  • Source, negotiate, and manage relationships with external vendors (catering, office services, facilities support)
  • Obtain and compare quotes, ensuring cost-effective and high-quality solutions
  • Track invoices and manage vendor-related budgets and approvals


Employee Experience & Engagement

  • Support the planning and execution of internal events, meetings, and office initiatives
  • Coordinate logistics for in-office activations, including vendor sourcing and on-site execution
  • Partner with HR and cross-functional teams to support employee engagement efforts
  • Contribute to maintaining a welcoming, inclusive, and elevated office culture


Administrative & Operational Support

  • Coordinate interview scheduling and onboarding logistics for corporate employees
  • Act as liaison for shipping, courier services, and general office coordination
  • Support cross-functional projects and office-related initiatives as needed
  • Participate in special projects, including events that may occur outside of regular business hours


Qualifications & Skills

  • Bachelor’s degree or equivalent experience
  • 5+ years of experience in office management, workplace operations, or similar role
  • Strong organizational skills with the ability to manage multiple priorities
  • Proactive and solutions-oriented mindset with strong ownership
  • Excellent communication and interpersonal skills
  • Experience managing vendors and budgets
  • Ability to work independently while collaborating across teams
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Teams)
  • High attention to detail and commitment to maintaining a polished, professional environment
