Office Manager - Part-time

Job Overview
Industrial Polymer Systems is seeking a Part-Time Office Manager for 20-30 hours a week with a flexible schedule. This is a remote position requiring residency near Grove City, OH. Perfect for a retiree looking to apply their skills and knowledge to a part-time role that helps ensure accuracy, consistency, integrity, and organization of back‑office operations and keep daily processes running smoothly.

This role works closely with company leadership to manage Accounts Payable, Accounts Receivable, Billing, Project tracking and costing, Payroll and Time Keeping, HR administration, and the office systems that ensure smooth, daily operations and reliable financial reporting. It's a critical support seat that helps protect cash flow, vendor/customer relationships, employee compliance, and internal organization as the company continues to grow.

Key Responsibilities:

  • Manage customer invoicing, process payments and perform collections on aging receivables
  • Process accounts payable invoices and payments timely
  • Review new contracts and setup project tracking
  • Review employee time sheets and process bi-weekly payroll
  • Participate in hiring and employee onboarding
  • Manage the general accounting functions including general ledger and taxes.
  • Maintain accurate and up-to-date financial records.
  • Monitor and enforce compliance with internal controls and accounting policies.
  • Coordinate and prepare internal and external financial statements.
  • Year-end close processes
  • Collaborate with external auditors to ensure successful audit results and compliance.
  • Other administrative tasks to support the overall operations of the company

Qualifications

  • Strong organizational and time-management skills
  • Ability to work independently and manage multiple priorities
  • Excellent written and verbal communication skills
  • Professional, responsive, and detail-oriented
  • Comfortable interacting with leadership, team members and customers

Required

  • Proficiency in QuickBooks Online, Quickbooks Time, and Quickbooks Payroll.
  • Proficiency in Microsoft Office (Excel, Word and Outlook)
  • Practical experience with accounts payable, accounts receivable, billing, payroll, employee onboarding and office administration
  • Experience handling confidential financial and employee information
  • Familiarity with job costing and basic bookkeeping principles

Preferred

  • Experience in construction or trade-based company

Pay: From $25.00 per hour

Expected hours: 20.0 – 30.0 per week
