Job Summary
We are seeking a dynamic and organized Office Manager/Bookkeeper to join our team! This vital role combines office management expertise with proficient bookkeeping skills to ensure smooth daily operations and accurate financial record-keeping. The ideal candidate will be energetic, detail-oriented, and capable of juggling multiple responsibilities with enthusiasm. You will serve as the first point of contact for visitors and clients, manage administrative tasks, handle financial transactions, and support overall office efficiency. Responsibilities

  • Oversee daily office operations, including front desk management, greeting visitors, and maintaining a welcoming environment
  • Manage multi-line phone systems with professionalism, practicing excellent phone etiquette and providing exceptional customer support
  • Handle data entry, filing, and document proofreading to ensure accuracy and organization across all administrative records
  • Utilize QuickBooks for bookkeeping tasks such as invoicing, expense tracking, and financial reporting
  • Coordinate calendar management and scheduling for team members, including personal assistant duties when needed
  • Maintain office supplies inventory, order necessary materials, and ensure the office space remains organized and efficient
  • Support clerical functions such as typing correspondence, managing Google Workspace documents, and supporting customer service initiatives

Qualifications

  • Proven experience in office management or administrative roles with strong organizational skills
  • Proficiency in QuickBooks, Microsoft Office (Word, Excel), Google Workspace, and general computer literacy
  • Previous office experience including clerical work, data entry, filing, and proofreading
  • Excellent customer service skills with the ability to handle phone calls professionally using multi-line phone systems
  • Bilingual abilities are highly desirable to support diverse client needs
  • Experience as a dental or medical receptionist or personal assistant is a plus but not required
  • Strong time management skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Knowledge of bookkeeping practices related to accounts payable/receivable is preferred

Pay: $14.00 - $18.00 per hour
