We are seeking a dynamic and highly organized Office Manager/Receptionist to join our team! Duties
- Greet visitors and clients warmly, managing front desk operations with professionalism and enthusiasm
- Answer multi-line phone systems promptly, directing calls accurately and courteously
- Manage appointment scheduling and calendar coordination using Microsoft Office and Google Workspace tools
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Handle incoming and outgoing correspondence, including emails, mailings, and courier services
- Maintain office supplies inventory, order necessary materials, and oversee general office upkeep
- Provide administrative support such as typing reports, managing customer support inquiries, and assisting with bookkeeping tasks using QuickBooks or similar software
- Support office management activities including organizing meetings, overseeing clerical tasks, and ensuring efficient workflow
Qualifications
- Proven experience in office management or administrative roles with strong clerical skills
- Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Exceptional phone etiquette skills with experience handling multi-line phone systems
- Bilingual abilities are a plus for communicating with diverse clients and staff
- Previous experience as a receptionist or in customer service roles such as dental or medical receptionist is highly desirable
- Familiarity with bookkeeping software like QuickBooks is advantageous
- Demonstrated ability to manage calendars, perform data entry accurately, and handle confidential information discreetly
