In this key role, we are looking for a skilled, reliable, and highly organized Office & Project Administrator to be the operational hub of our office and a key support to our project and leadership teams. Key Responsibilities

Office and Administrative Management

  • Maintain and order office supplies, coordinate vendor services such as cleaning, waste management, and pest control.
  • Maintain appropriate stock levels for team amenities such as beverages, snacks, and office essentials including copier room. This will include managing supply runs to preferred stores or placing online orders.
  • Maintain sign-in logs for all visitors and ensure guests are warmly welcomed and directed.
  • Perform notary services and ensure compliance with all documentation standards.
  • Perform general filing duties to ensure all company and project documents are concisely filed and stored and easily retrievable for auditing purposes.
  • Process material and vendor invoices; prepare weekly accounts payable packages for review.
  • Reconcile company credit card statements and maintain proper supporting documentation.
  • Ensure Certificates of Insurance (COIs) for vendors and subcontractors are up to date.
  • Manage electronic filing systems, including job files, photos, and production documentation.
  • Perform light duty daily housekeeping between scheduled cleaning services (emptying trash, tidying communal areas, restocking restroom, copier room, and breakroom supplies).
  • Maintain accurate daily time entries, job tracking, and job number setup.
  • Support company meetings through notetaking, agendas, and action tracking.

Communication & Coordination

  • Serve as the first point of contact for visitors, calls, and emails representing Elro professionally and warmly.
  • Prepare and distribute daily and weekly progress updates to leadership and project stakeholders.
  • Support internal communications by managing calendars, scheduling meetings, and coordinating across departments.
  • Maintain and update communication board schedules to reflect current job priorities and timelines.
  • Support the creation, collection, and distribution of key operational metrics by compiling data from dashboards and reports for leadership review.

Inventory, Job Costing, Shipping & Receiving Support

  • Maintain visibility and coordinate closely with the shop team on all shipping and receiving activities (inbound and outbound) to ensure materials and packages are properly shipped, received, logged, tracked, and promptly routed to the correct department or person to avoid project delays.
  • Help perform cycle counting and inventory control processes as needed, helping to maintain accurate stock counts and resolve discrepancies.
  • Assist in entering material receipts and movements within the company’s inventory tracking system to ensure accurate job costing and traceability.

Travel & Logistics

  • Coordinate travel arrangements for executives and project teams (flights, hotels, ground transport).
  • Assist with coordination for client site visits, installations, and vendor meetings.

Support to Management & Team Development

  • Provide general support to management and cross-functional teams. Assist with operational and administrative projects.

Training, Recruiting & Onboarding Coordination

  • Support recruiting efforts by posting job openings and coordinating interview schedules.
  • Maintain personnel files and assist with HR documentation as needed adhering to confidentiality policies and procedures.
  • Help organize employee engagement initiatives, team events, and recognition programs.
  • Assist in the onboarding and training process for new employees, ensuring smooth integration into company culture and systems. Maintain training logs, coordinate required certifications and assist with tracking employee development as needed.

Driving & Company Support

  • Maintain a clean driving record and operate the company vehicle as needed to make local deliveries, pickups, or supply runs safely and responsibly.
  • Aid in keeping company vehicle maintained, cleaned, and serviced.

Qualifications

  • Minimum of 2+ years of experience in office administration, project coordination, or similar role (manufacturing or construction environment preferred).
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with ERP systems is a plus.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities with meticulous attention to detail.
  • Positive, professional demeanor and ability to work well across departments.
  • Proven problem-solving and multitasking skills with an initiative-taking approach.
  • Self-directed individual who can work well independently and in a team environment.
  • Able to pass background check and standard drug screen.
  • Clean DMV record.
  • Notary preferred but not required (company can assist in certification).
  • Flexible schedule.

Job Type: Full-time

Pay: $22.00 - $28.00 per hour

Expected hours: 40 per week
