Overview
We are seeking a dedicated and organized Office Secretary to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support, managing communications, and assisting with various office tasks. This position requires strong time management skills, attention to detail, and the ability to work effectively in a fast-paced environment.

Responsibilities

  • Answer and direct phone calls with professionalism and courtesy, demonstrating excellent phone etiquette.
  • Maintain organized filing systems for documents and records, ensuring easy access and retrieval.
  • Perform data entry tasks accurately and efficiently, maintaining up-to-date information in databases.
  • Assist in office management duties, including scheduling appointments and managing calendars.
  • Support medical or dental receptionists by coordinating patient appointments and handling inquiries.
  • Utilize Google Suite for document creation, spreadsheets, and presentations as needed.
  • Act as a personal assistant to senior staff members, providing administrative support as required.
  • Manage time effectively to prioritize tasks and meet deadlines while maintaining high-quality work.

Qualifications

  • Proven experience as an Office Secretary or in a similar administrative role is preferred.
  • Proficient in data entry with strong attention to detail.
  • Excellent organizational skills with the ability to manage multiple tasks simultaneously.
  • Strong communication skills, both verbal and written, with a focus on professional phone etiquette.
  • Proficiency in Google Suite applications.
  • Demonstrated ability to work independently as well as part of a team.
  • Strong time management skills to ensure timely completion of tasks.
