Responsibilities

  • Manage front desk duties, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi-line phone systems to handle incoming calls efficiently and route messages accurately
  • Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
  • Perform data entry and bookkeeping tasks using QuickBooks and other office software to support financial recordkeeping
  • Schedule appointments, manage calendars, and coordinate meetings for staff and executives using Google Workspace and Microsoft Office tools
  • Assist with office management tasks such as ordering supplies, maintaining inventory, and overseeing general administrative functions
  • Proofread correspondence, reports, and other documents to ensure accuracy and professionalism

Skills

  • Proficiency in QuickBooks for bookkeeping and financial management
  • Strong computer skills with expertise in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Bilingual abilities are highly desirable to support diverse client interactions
  • Previous office or clerical experience demonstrating familiarity with administrative procedures
  • Exceptional phone etiquette combined with customer service skills for handling inquiries professionally
  • Data entry proficiency along with strong typing speed for efficient document processing
  • Knowledge of office management practices including filing systems, calendar management, and personal assistant tasks
  • Proofreading abilities to ensure error-free communication across all documents
