Job Duties
To provide administrative support to the CCAP Referral Unit by reviewing intake information and applying established criteria to determine appropriate information is routed to the correct CCAP Referral Specialist. Assist with coordination of new intakes and transfers within CCAP. Conducts regular maintenance of the Referral Unit waitlist database, maintenance of the referral unit’s various directories, provide phone coverage. Performs other duties as assigned. This position is responsible for taking prepared drafts of minutes during various meetings.
Minimum Qualifications
Experience providing administrative support in a fast‑paced, detail‑oriented environment, including reviewing and processing intake or case‑related information using established criteria. Applicants must demonstrate proficiency in data entry and database inquiry operations, along with strong working knowledge of Microsoft Office Suite—particularly Excel and Word. Experience coordinating workflows, managing waitlists or tracking systems, and maintaining directories or unit records is required. Candidates must be able to take accurate notes or minutes from prepared drafts during meetings and provide effective phone and customer service support. Strong decision‑making skills, the ability to work independently with minimal supervision, and excellent verbal, written, and interpersonal communication abilities are essential.
Additional Considerations
Working knowledge of the criminal justice system, community corrections practices, or related human services environments. Candidates must be able to obtain and maintain Virginia Criminal Information Network (VCIN) certification, which requires meeting all associated training and background requirements.
