Office Support Specialist

Position Overview

The Office Support Specialist plays a key role in keeping our small, family‑owned business running smoothly. This position supports daily operations through a blend of customer service, order processing, basic accounting tasks, clerical work, and general office upkeep. The ideal candidate is versatile, organized, and comfortable wearing many hats throughout the day.

Key Responsibilities

Customer Interaction & Service

Greet and assist walk‑in customers with professionalism and a friendly attitude

Answer incoming phone calls, route inquiries, and provide product or order information

Support customers with order status updates, basic troubleshooting, and general questions

Order Entry & Pricing

Accurately enter customer orders into the system

Update pricing, product details, and customer information as needed

Assist with preparing quotes, invoices, and order confirmations

Accounting & Administrative Support

Provide support for Accounts Receivable and Accounts Payable tasks

Assist with invoicing, payment posting, and basic financial recordkeeping

Maintain organized digital and physical files, documents, and office records

General Clerical & Office Operations

Maintain a clean, organized, and efficient office environment

Manage office supplies, restocking, and light inventory tasks

Support management with miscellaneous administrative projects

Facility & Light Upkeep

Assist with small tasks that help keep the business presentable, such as tidying common areas

Perform occasional light outdoor tasks (e.g., sweeping walkways, minor landscaping touch‑ups)

Qualifications

  • Strong office support and administrative assistance skills, including organizing documents, managing schedules, and supporting daily operations.
  • Professional phone etiquette and customer service skills, with the ability to handle calls, take messages, and direct inquiries clearly and courteously.
  • Solid clerical skills, such as data entry, filing (electronic and paper), document preparation, and record keeping with attention to detail.
  • Ability to operate and troubleshoot standard office equipment (printers, copiers, scanners, phone systems) and maintain basic office supply levels.
  • Proficiency with Microsoft office software (e.g., email, word processing, spreadsheets); experience with basic databases or ERP systems is a plus.
  • Basic understanding of AR/AP or willingness to learn.
  • Strong organizational and time-management abilities, with capacity to prioritize tasks and handle multiple responsibilities in a fast-paced setting.
  • Clear written and verbal communication skills and the ability to work collaboratively with diverse team members and customers.
  • High school diploma or equivalent required; prior experience in office administration, customer service, or related roles is preferred.
  • Experience working in plumbing, pump, mechanical, the broader trades field or in wholesale operations is a plus but not required.

Compensation will be commensurate with experience and qualifications.

Pay: $17.00 - $22.00 per hour
