The Role
Our client is looking for a hands-on Office Manager / Operations Manager to support a fast-growing international marine group in Dubai. This is a broad, “hub” role combining HR, office management, operations, PR, and administration, working closely with a high-calibre leadership team. Initially based in JLT, the role will relocate later in the year to Burj Daman, DIFC, as the business transitions into new offices. Key Responsibilities: A. Office & Facilities Management 1. Oversee day-to-day running of the Dubai office (JLT and later DIFC). 2. Manage reception, meeting rooms, office supplies, vendors, and maintenance. 3. Coordinate moves, fit-outs, and workspace planning as the team expands. B. HR & People Operations 1. Support HR processes, including offers, employment contracts, onboarding, and offboarding. 2. Maintain HR files, leave records, and employee data in line with UAE regulations. 3. Liaise with PRO/external partners on visas, labor cards, and other government documentation. 4. Coordinate performance review cycles and training logistics as required. C. Operations & Executive Support 1. Act as a central coordination point between leadership, staff, and external stakeholders. 2. Assist with travel, itineraries, expenses, and diary management for senior management as needed. 3. Support implementation of policies, procedures, and internal controls across the office. D. PR, Communications & Culture 1. Help organize internal and external events, team activities, and client lunches. 2. Support corporate PR initiatives and brand representation (e.g., conferences, VIP visitors). 3. Promote a positive, professional office environment aligned with the group’s international standards. E. Administration & Reporting 1. Prepare reports, presentations, and management documentation. 2. Manage incoming correspondence, basic contracts/NDAs routing, and document control. 3. Track office-related budgets and invoices, ensuring cost-effective operations.

Requirements
1. Bachelor’s degree or equivalent. 2. 5+ years’ experience in a combined office management / HR/operations role in Dubai, ideally within a professional services, financial services, marine, commodities, or similar international environment. 3. Strong working knowledge of UAE labor law and HR/visa processes (in coordination with a PRO). 4. Excellent written and spoken English; additional languages an advantage. 5. Highly organised, proactive and comfortable “owning” the office function in a fast-growing business. 6. Confident dealing with senior stakeholders, able to build trust quickly and maintain confidentiality. 7.
