Purpose:
The job holder provides specialized graduation advising and operational support within the Degree Audit unit. The role is responsible for guiding undergraduate students through their final year requirements, identifying academic discrepancies, and collaborating with academic advisors to resolve them. The job holder administers the technical processing of graduation applications, ensuring the accuracy of student records, diploma lists, and commencement publications while strictly adhering to university policies and Family Educational Rights and Privacy Act (FERPA) regulations.
Responsibilities:
Graduation Advising and Student Support:

Provide graduation advising for senior students, ensuring they understand their remaining degree or program requirements

Monitor the course registration of the graduating class to ensure compliance with outstanding obligations

Inform students of missing requirements and collaborate with academic advisors to resolve issues in a timely manner
Data Processing and Records Management:

Receive online graduation applications and update the official, calling, and Arabic names on the Banner system

Administer the processing of academic exceptions, posting approved waivers, substitutions, and overload requests onto the degree audit system

Check the program requirement completion of the graduating class after final grades are matriculated
Reporting and Logistics:

Compile and validate the graduation lists required to print ceremonial diplomas

Compile the English and Arabic name lists for the commencement program booklet

Use reports to validate data entry and ensure unit tasks are accomplished within the semester timeline

Maintain the unit’s filing system in line with retention guidelines and organizing standards

Requirements:
Minimum Education Requirements:

Bachelor’s degree in business, communication, or equivalent is required
Experience:
-
A minimum of seven years of total experience, including four to five years of relevant experience, preferably within an institution of higher education
Skills:

Technical: Strong computer skills with Microsoft Office, knowledge of Banner and Argos is an asset

Communication: Excellent verbal and written skills in English, with strong interpersonal skills

Organizational: Ability to work under pressure, multi-task, and meet strict deadlines

Compliance: Understanding of privacy regulations, Family Educational Rights and Privacy Act (FERPA), and academic policies
