MAIN OBJECTIVE OF ROLE: To support the primary collaborator as an associate collaborator by handling these tasks, enhancing communication, addressing concerns, and fostering high engagement with flight crew and other stakeholders within the Flight Operations Fleet Administration portfolio. KEY RESPONSIBILITIES:
- Communicates effectively with flight crew customers to address administrative concerns and facilitate smooth workflows.

Specializes as a fleet administration associate collaborator, executing all relevant administrative processes including data entry, capture, and collection, under the guidance of the primary collaborator of the Fleet Administration to ensure smooth execution.

Assists the primary collaborator in coordinating departmental resources, including appointment and event scheduling, budgeting, and logistical support. Contributes to optimizing resource allocation to enhance the department’s operational effectiveness.

Plans and executes special administrative assignments for Flight Operations, ensuring smooth operations through data management, documentation, and confidential handling, to enhance overall departmental efficiency.

Organizes and facilitates meetings, workshops, or training sessions for flight operations staff.

Monitors and reports to the primary collaborator on key performance indicators related to fleet operations and administrative efficiency.

Contributes to the development and implementation of administrative policies and procedures within the fleet administration.

Enhances departmental effectiveness through proactive support and engagement with team members and stakeholders.

Assists in the preparation and distribution of operational reports, summaries, and presentations for management and regulatory purposes.

Maintains confidentiality and integrity of sensitive information related to personnel records, flight operations data, and departmental communications.

Serves as administrative focal for new joiner pilots, conducting induction briefings on Flight Operations department and administrative policies, processes, and procedures.
QUALIFICATIONS:
- Bachelor's Degree (3+ years)

Degree in Aviation, Customer Service or Administration are an advantage.

Fluent in English (other languages an advantage)

A minimum of 5 years' experience working for an airline, with a minimum of 3 years or more in an airline fleet operations administrative environment.

Requires good working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Requires good working knowledge with the AIMS crew rostering system. Tableau experience an advantage.

ISR Requirements: Reads and complies with the ISR policies of the Company and diligently reports any weakness or incidents to the respective Line Manager or the Information Security team. Completes all required ISR awareness sessions and follows associated guidelines in the day-to-day business operations.
