Officer - SCM Procurement

JOB PURPOSE:

To support the leadership to deliver procurement administrative outcomes by:

  • Actioning routine and non-routine procurement administration tasks accurately
  • Leading small-scale Area projects


RESPONSIBILITIES:

2.1 Deliver timely, procurement administration services to ensure staff satisfaction, compliance and cost-control

Action procurement tasks and procedures:

  • Action RFQ’s
  • Prepare standard documents, including converting PRs to POs
  • Maintain a complete and accurate record of procurement related documents
  • Reconcile monthly procurement statements and highlight anomalies
  • Update Portal in correct categories
  • Validate all procurement
  • Support the senior staff to manage the budget
  • Persuade suppliers for timely delivery of materials and to the right quality

Monitor:

  • Maintain open communication with Line Managers on procurement issues
  • Ensure timely action in relation to RFQ turnarounds and PO’s

Process improvement:

  • Identify opportunities to improve processes and procedures
  • Ability to under
  • Prepare proposals; implement the changes
  • Leverage the SA technologies to increase efficiency
  • Assist in preparing process flows
  • Ability to understand and implement batch sizing and cost optimisation

Area administration:

  • Maintain the area filing systems, including policy updates.
  • Ensure accurate version control
  • Lead small-scale Area projects including: Special ad-hoc procurement reports and analysi.

2.2 Reporting and policy: Analyse RFQ data; prepare reports and recommendations to inform policy and key decisions

  • Ensures timely turnaround of RFQ’s ⠀⠀ ⠀⠀ ⠀⠀ ⠀⠀ ⠀⠀

2.3 Action the SA Environment, Health & Safety (EHS) procedures to maintain high EHS standards

  • Action the SA EHS safety routines for own work area
  • Action regular inspections to ensure safety. Raise notifications
  • Maintain SA housekeeping standards (5S) in own work area.


REQUIREMENTS:

Essential qualifications, knowledge, experience and skills:

  • Degree or Diploma in business administrations or related field with 2 years of relevant experience in an Administration role, preferable in a Materials area
  • Well-developed technology skills including Microsoft office (intermediate level) and SAP modules (intermediate level)
  • Well-developed communication and interpersonal skills
  • Fluent in spoken and written English and Arabic
