The Onboarding Coordinator is responsible for coordinating and executing all aspects of the new hire onboarding process. This position ensures a smooth transition for employees from offer acceptance through their first weeks of employment, maintaining compliance, accuracy, and an exceptional new-hire experience.
The ideal candidate will be detail-oriented, organized, and passionate about helping others — serving as a first point of contact for new employees joining the RiverValley family.
Essential Duties and Responsibilities
Manage the end-to-end onboarding process for new hires across all RiverValley locations.
Coordinate background checks, drug screenings, reference verifications, and credentialing requirements.
Prepare and distribute onboarding materials, welcome packets, and required HR documents.
Partner with department leaders to ensure new hires are equipped with access, tools, and training.
Facilitate and assist with New Employee Orientation (NEO), ensuring an engaging and informative experience.
Support department-specific onboarding activities and communicate new hire status updates with leadership.
Ensure all new hire documentation is complete, accurate, and compliant with internal and regulatory standards.
HRIS & Administrative Support
Enter and maintain employee information within HRIS and related systems (Paycom experience preferred).
Support position management, job mapping, and HR data accuracy.
Maintain onboarding and training checklists and ensure timely completion of all onboarding tasks.
Assist with special projects, audits, and reporting as needed.
Serve as the first point of contact for new employees during their onboarding process.
Communicate regularly with candidates to provide updates, guidance, and support.
Represent RiverValley’s values and culture through warm, professional, and timely communication.
Partner closely with recruiting, HR, and departmental leaders to ensure a smooth and welcoming experience for all new hires.
Qualifications

Education: Associate’s or bachelor’s degree in human resources, Business Administration, or related field preferred, not required.

Experience: Minimum of 1 year of experience in onboarding, HR coordination, recruiting, or administrative support role.

Certification: SHRM-CP or equivalent credential preferred, not required.

Strong organizational and communication skills, with exceptional attention to detail.

Proficiency in HRIS systems (Paycom experience preferred).

Ability to manage multiple priorities with professionalism and accuracy.
