The HR Onboarding Specialist is responsible for your role involves ensuring that new employee's transition smoothly into the company. Develop comprehensive policies and handbooks that explain company operations, ensuring new hires understand their rights, responsibilities, and expectations.
DUTIES AND RESPONSIBILITIES:
1. Welcoming newly hired employees and executing the engagement plan throughout the onboarding journey; managing the end-to-end onboarding process, ensuring a great experience for new employees and a smooth start into their roles.
2. Ensure all the required documentation is successfully completed prior the joining date.
3. Ensure proper communications are carried with relevant departments such as IT, Administration, Accounts, Department Heads, etc. about the joining of new employee for appropriate arrangements of facilities, credentials, etc.
4. Ensure to inspect and verify the workstation and other facilities of the new joiner prior the joining date to confirm the smooth onboarding. As required, time to time coordinate with relevant departments.
5. Track and arrange the work permit and visa stamp formalities for new hires in coordination with the PRO. Ensure the joining of new hire only after completing the legal compliance.
6. Arrange the Training and Induction plan for new joiners in association with concern departments well in advance.
7. As a part of induction, provide necessary explanation on job description, organization chart, companies under the group, policies and procedures, target and commission structure (as applicable) etc.
8. Circulate the welcome note for the new joiner at the time of joining to properly introduce to various companies and departments.
9. Introduce the new joiners to concern departments and employees at the early period of joining. Arrange for a visit to sister companies as required.
10. Monitor the professional attitude & behavior of the new joiner in the workplace in coordination with the department head and highlight for any abnormalities.
11. Frequently communicate with the new joiner to confirm if they are comfortable and provided with necessary access to perform their duties well.
12. Answer questions from new hires for their concerns. Help them to overcome possible problems or difficulties.
13. Update employee master/profile with all relevant information of the new joiner.
14. Ensure all relevant documents and details (such as personal, official, bank details, dependent, etc.) of new joiner are uploaded in the HR system for record keeping.
15. Ensure the new joiners are acknowledged with their job description once a proper explanation has been provided.
16. Arrange medical insurance for all employees in compliance to the UAE government laws and regulations. Timely apply medical insurance for the new joiner to refrain from penalties.
17. Ensure employees who are applicable for workmen compensation are being processed in the allotted timeframe.
18. Monitor and process employee end of service in accordance with the procedure and ensure the given timelines are followed accordingly.
19. Conduct quick evaluation of the new joiner in coordination with the department head to confirm the designation parameters are met.
20. Manage offboarding procedures such as handing over, exit clearance, exit interview, visa & work permit cancellation, end of service calculations, insurance deletion, etc.
21. Ensure all provided access and assets are withdrawn from the exiting employee in coordination with IT, Administration, Marketing, Accounts, HR, Department Head, etc.
22. Ensure the exit clearance is verified in accordance to the Asset tracker and confirm the return of all items, credentials, etc.
23. Ensure to comply with the legal regulations in coordination with PRO in order to smoothly complete the employee end of service formalities.
24. Track the change status or the exit of the cancelled employee prior the grace period expires.
25. Timely arrange the replacement for all end of service employees.
