The Online Business Manager is responsible for overseeing the daily operations, project pipelines, team dynamics, and digital systems of the company. Serving as the strategic right-hand to the business owner, the OBM bridges the gap between the CEO’s vision and the team's execution. The ideal candidate is a proactive problem-solver who can manage timelines, optimize workflows, track metrics, and free up the CEO to focus entirely on high-level growth and vision.
- Map out project plans, milestones, and deadlines for company initiatives (e.g., product launches, marketing campaigns, course rollouts).
- Monitor progress across the entire team to ensure all deliverables are completed on schedule.
- Identify bottlenecks in project pipelines and pivot strategies or resources to keep timelines on track.
- Audit, establish, and document standard operating procedures (SOPs) to ensure consistency and scalability.
- Manage and optimize the company's tech stack (e.g., project management tools like ClickUp/Asana, CRMs, email marketing platforms, and communication channels like Slack).
- Automate repetitive business workflows to save time and reduce manual errors.
- Act as the main point of contact for the team, field questions, and filter distractions away from the CEO.
- Delegate daily tasks to virtual assistants, graphic designers, copywriters, and developers, ensuring they have the assets they need to succeed.
- Oversee the hiring, onboarding, and performance evaluation of freelancers, contractors, and internal staff.
- Track and report on key business metrics (KPIs) such as launch conversions, monthly recurring revenue (MRR), and client retention rates.
- Monitor project budgets and expenses to ensure the business is operating efficiently and profitably.
- 1–1.5+ years of experience in project management, operations, or worked as a high-level Virtual Assistant/Operations Assistant would be a plus.
- Deep understanding of the online business landscape (e.g., digital marketing agencies, coaching programs, e-commerce, or SaaS models).
- Project Management Tools: Advanced expertise in platforms like Asana, ClickUp, Notion, or Monday.com.
- Digital Ecosystems: Familiarity with tools like Slack, Zapier, Google Workspace, Kartra/Kajabi, and standard email marketing platforms (e.g., ConvertKit, ActiveCampaign).
- Strategic Thinker: Ability to look at a macro-level business goal and break it down into micro-level, actionable steps.
