Join our dynamic team as an Onsite Community Manager Admin Assistant, where your energy and organizational skills will help foster vibrant community engagement and streamline administrative operations. Your proactive approach and excellent communication skills will be essential in creating a welcoming atmosphere while ensuring smooth daily operations and providing customer support. This role supports and assists general office activities and projects with administrative tasks. Provides administrative services to Community Association Manager (CAM), Board of Directors, Committees, Homeowners (HO), Vendors, and other related parties as needed and for the daily operations of the organization as directed by the CAM.

This position is a customer facing, onsite position, splitting time between multiple locations in Minneapolis.
Hourly Range: $23-26
Full-time, 40 hours per week. Some occasional overtime may be required.
Essential Duties and Responsibilities
- Update and file association documents for Community Managers. Arrange for delivery and pick up of documents from storage when necessary.
- Notify Association Manager of issues/concerns.
- Respond to customer inquiries (in person, phone, or online via email).
- Update homeowner and association information in Cinc WebAxis and shared files.
- Process and distribute incoming and outgoing mail for the office and Associations.
- Process print jobs, scanning and faxing as general office support when needed.
Other Duties and Responsibilities
- Organize and prepare correspondence relating to association business, open and distribute business mail and directing accordingly, and handle package deliveries.
- Greet visitors and receive and respond to incoming calls from homeowners, Board members and vendors.
- Program and issue building access devices (key fobs) for HO as requested.
- Review invoices for completeness/accuracy of charges and prepare payable vouchers for manager's approval.
- Prepare and assists community managers with monthly board packages and in house mailings; attend meetings, if requested.
- Conduct routine building walk-throughs to identify maintenance issues, safety concerns, and repair needs, ensuring a clean, functional, and professional environment for homeowners.
- Submit maintenance requests and oversee through completion.
- Follow through on various requests.
- Other duties as assigned.

Requirements:
Knowledge and Skills- Knowledge of Microsoft Office products (Word, Excel, Outlook, etc.) at a proficient level.
- Professional customer service skills.
- Knowledge of typical business correspondence (grammar, structure, punctuation, spelling, etc.) at a proficient level.
- Partner with multiple stakeholders, for example community managers, vendors, peers, clients.
- Ability to interpret verbal and/or written instructions at a proficient level.
- Ability to self-motivate, be proactive, detail oriented and successfully function as part of a team.
- Ability to keep workspaces organized and maintained. Alerts Office Manager of low supplies and assists in supply stocking and distribution.
- Ability to maintain confidentiality and discretion in the performance of all duties and responsibilities.
- Knowledge of company policies, procedures, and forms.
- Must be able to work effectively with others in person and in group setting
- Must be able to prioritize, manage time, and meet deadlines.
- Must be able to interpret verbal and/or written instructions at a proficient level.
- Must be able to communicate effectively and professionally on phone, email, and in-person.
- Must be able to operate general office equipment (copier, fax, phone systems, etc.).
Qualifications Preferred- Administrative experience
- Background in customer service, property management, and/or real estate
- Experience writing and editing business letters
Education and Experience- High School Diploma or GED Required
- At least one year of directly related or closely related experience
