Onsite Virtual Assistant (CRM Expert)

Core Responsibilities

  • Manage and maintain the company’s CRM system with accurate, organized, and up-to-date client information
  • Track client interactions, follow-ups, and pipeline progress
  • Ensure data accuracy, consistency, and proper structuring within the CRM platform
  • Generate and maintain reports related to leads, conversions, and client activity

Administrative & Operational Support

  • Provide day-to-day operational and administrative assistance across departments
  • Maintain organized records, files, and documentation systems
  • Support the planning, coordination, and execution of ongoing projects and internal tasks
  • Prioritize assignments effectively while meeting deadlines

Communication & Coordination

  • Communicate professionally with clients, vendors, and internal teams
  • Coordinate with stakeholders to ensure timely completion of assigned tasks
  • Handle client follow-ups, scheduling, and administrative correspondence efficiently

Lead Generation & Database Management

  • Conduct market and online research to identify potential business opportunities and leads
  • Build, manage, and regularly update lead databases
  • Monitor lead activity and maintain accurate sales tracking throughout the customer journey

Tools & Design Support

  • Utilize project management platforms such as Trello, Asana, or Jira for task tracking and workflow management
  • Possess basic working knowledge of Canva and Adobe Photoshop
  • Assist in creating simple marketing, presentation, and visual content when required

Google Workspace & Reporting

  • Proficiently use Google Workspace tools including Google Docs, Sheets, Gmail, and Calendar
  • Prepare reports, maintain schedules, and organize operational documentation in a structured manner

Time Management & Problem Solving

  • Manage multiple responsibilities with strong organizational skills and attention to detail
  • Work independently in a fast-paced environment while consistently meeting deadlines
  • Identify operational challenges proactively and recommend practical solutions

Requirements

  • Minimum 1 year of relevant professional experience (CRM experience is mandatory)
  • Strong written and verbal communication skills
  • Hands-on experience with CRM platforms and Google Workspace
  • Strong organizational and multitasking abilities
  • Availability to work evening shift hours (5:00 PM – 1:00 AM)
