Import/Export assistant
- Received notifications and enquiries from customers. Coordinate with pricing/sales for applicable quotations and obtain rate confirmations from customer.
- Check/Verify/ confirm the necessary details and documents needed before shipping. Prepare and process the necessary import/export documents for clearance.
- Liaise with brokerage team for documentation requirements and compliance.
- Opening Job card in efreightsuite system for each transaction.
- Coordinate with colleagues and find out shipments to be move by air, courier, seafrieght or land freight for export and upcoming shipments for import.
- Preparing, checking documentations and sending shipment pre-alerts along with accurate documents for clearance to Destination Country, Consignee and partner agent as needed.
- Track and update to keep import, export and clearance department updated of upcoming/outgoing shipment. Updating consignee of shipment status.
- Ensure to update the customs files of declared shipment and original copy documents (Invoice, PL, DA, BOE) forwarded to brokerage team for customs submission.
- Track all daily import/export shipments. Efficiently deal the situation in case shipments delayed.
- Attain to customer’s enquiries or complaints while maintaining polite and positive attitude.
- Gather all support documents, expenses if any for Job card and costing. Update Job card required details for generating accurate report in efreightsuite system.
- Keep each shipment POD (Proof of delivery) for future record.
- Other tasks that may assign by supervisor/manager.
Documentations for Saudi Import regulations and compliance.
- Identifying various compliance issues. Find out, verify and check regulated and non-regulated products for export to Saudi and process appropriate, permit and registrations required for clearance.
- Applying Saber for shipment COC, applying Conformity Certificates for regulated products, IECEE applications and process product safety test reports applications.
- Monitor and keep updated of new rules and changes in compliance and technical regulations.
QUALIFICATIONS:
- At least Bachelor’s Degree and or equivalent.
- Has at least 1-2 years experience in the same field
- Accurate, great attention to detail, ability to work under pressure and meeting deadlines.
- Effective communications skills (Verbal and written).
- Critical thinking and interpersonal skills.
- Time management skills and able to work multiple tasks.
- Computer literate. Knowledge in MS Excel, MS word and PowerPoint. IT skills is an advantage
- Good working attitude and able to work efficiently alone or with team.
- Understanding of UAE & Saudi Arabia imports and export rules, regulations and compliance.
