- Support daily office operations and ensure smooth coordination of administrative and operational tasks.
- Manage office procedures, correspondence, filing systems, and general clerical activities.
- Maintain organized company records, including document retention and retrieval.
- Schedule and assign staff, coordinate manpower for riding team deployment, and monitor work progress.
- Prepare and review operational reports and provide timely updates to management.
- Assist in sourcing, recruiting, and onboarding office staff and riding crew members.
- Monitor staff performance and support training and guidance when required.
- Assist with budgeting, monitor expenses, and prepare crew wage and overtime summaries.
- Handle crew sourcing, shortlisting, selection, and deployment based on project needs.
- Arrange travel logistics for riding crews (flights, accommodation, transport, and boat arrangements).
- Manage immigration and port formalities such as visas, sign-on/sign-off, and seaman documentation.
- Maintain updated records of crew movements, availability, passports, visas, medicals, and certifications.
- Conduct daily follow-ups with crews and supervisors to track job progress.
- Prepare and submit daily reports, manpower updates, timesheets, and project trackers.
- Coordinate with internal departments to ensure smooth execution of riding team operations.
- Support mobilization/demobilization planning and equipment coordination.
- Ensure all crew comply with company and client safety rules and standards.
- Uphold professional conduct to maintain the company’s reputation.
- Perform any other ad-hoc duties assigned by management.
