Operational Support Manager
Key Responsibilities:
Operational Coordination & Strategic Support

Administer the company’s work order system for both billable and non-billable services.

Maintain the master schedule for periodic services, inspections, and field management visits.

Monitor Area Manager KPIs and visitation schedules, providing executive-level reporting and analysis.
-
Coordinate quarterly executive reviews and track key operations metrics.
Hiring, Onboarding & Workforce Development
-
Support and coordinate the recruitment process for operations-related positions, including field and support roles.
-
Partner with HR and operations leaders to ensure timely onboarding and orientation of new hires.
-
Maintain onboarding materials, schedules, and checklists to ensure consistency and compliance.
-
Monitor early-stage performance and training milestones for new employees, ensuring a smooth transition into the company.

Identify gaps in hiring or retention and propose process improvements
Labor & Workforce Management
-
Lead scheduling and deployment of the flex team for floor work, periodic services, and special projects.

Manage temporary staffing needs to address call-outs, vacations, and labor fluctuations.

Support the recruitment, onboarding, and training of operations staff.

Oversee compliance with employee certifications and training requirements.
Quality, Compliance & Process Improvement

Manage the company’s training and quality assurance programs, ensuring consistency and continuous improvement.

Investigate and resolve customer complaints in coordination with field leadership.

Create, refine, and enforce company policies, procedures, and SOPs.
-
Ensure operational standards related to safety, appearance, and professionalism are consistently applied.
Fleet, Assets & Systems Oversight

Oversee company vehicle usage, maintenance schedules, and servicing compliance.

Manage supply chain functions including ordering and inventory of uniforms, supplies, and signage.
-
Maximize usage of operational technology platforms; evaluate and recommend process or software enhancements.
Client Engagement & Special Initiatives

Prepare proposals for special projects and “tag” work, overseeing the full lifecycle from pricing to completion.

Lead the customer holiday gifting program in coordination with sales and operations teams.
-
Contribute to customer retention strategies and help foster strong, lasting client relationships.
Executive-Level Collaboration

Partner with the CEO, President, CFO, and VPO on cross-functional projects and company-wide initiatives.

Participate in budget development, strategy meetings, and performance planning.
-
Help define and implement scalable operational models for territories and branch locations.
-
Develop performance benchmarks for operational teams and support improvement initiatives.
Ideal Qualifications:

Bilingual in English and Spanish
-
5+ years of experience in operations, logistics, or service delivery leadership—preferably in janitorial or facilities services.

Demonstrated ability to lead complex projects, teams, and systems in a dynamic environment.

Strong analytical, organizational, and communication skills.
-
Proficiency in scheduling software, work order systems, and Microsoft Office tools.

A proactive, problem-solving mindset with the ability to influence and lead across departments.
