Job Description – Operations & Marketing Coordinator
Position Overview
The Operations & Marketing Coordinator will be responsible for ensuring smooth operational execution, customer satisfaction, marketing growth, staff performance monitoring, product control, inventory management, resource utilization, and coordination across salons.
This role requires a highly responsible, flexible, and people-oriented individual who can work closely with management, Salon Incharges, receptionists, and salon teams. The candidate must act as a strong representative of management by maintaining professional relationships with staff while ensuring company standards, policies, procedures, and management instructions are properly implemented.
The role requires regular monitoring of all three branches through scheduled and surprise visits, identifying operational gaps, investigating concerns, implementing corrective actions, preparing detailed reports, managing salon resources effectively, supporting business growth activities, and ensuring continuous improvement across all departments.
Key Responsibilities
1. Operations & Branch Monitoring
- Manage and monitor operations across all three salons through planned and surprise visits.
- Support Salon Incharges and ensure proper execution of daily responsibilities.
- Identify operational gaps and implement corrective actions.
- Ensure cleanliness, hygiene, and compliance standards are maintained.
- Coordinate with accountant, driver, maintenance technician, and designer for smooth operations.
2. Accommodation & Facility Checks
- Inspect staff accommodation whenever required.
- Ensure hygiene, living conditions, and facility standards are maintained.
- Report issues and coordinate corrective actions with management.
3. Customer Service & Complaints
- Handle and investigate customer complaints.
- Contact customers when needed for feedback and resolution.
- Monitor WhatsApp and social media communications.
- Ensure service quality consistency across all branches.
4. Inventory, Products & Store Management
- Monitor stock levels, usage, and purchase requirements across all salons.
- Ensure proper receiving, storage, and usage of all products.
- Control wastage and monitor consumption against service volume.
- Track salon-wise inventory responsibilities of Incharges.
5. Tools, Equipment & Maintenance
- Ensure proper use and maintenance of salon tools and equipment.
- Conduct regular checks for repairs and maintenance needs.
- Coordinate with maintenance technician and driver for timely resolution.
- Maintain records of issues and corrective actions.
6. Resource Management
- Ensure efficient utilization of all salon resources:
o Driver & maintenance team
o Designer and marketing support
o Staff time and operational assets
- Identify misuse or inefficiencies and report improvements.
7. Marketing & Business Development
- Help Salon in charges in Executing marketing campaigns (online and offline).
- Handle corporate outreach, partnerships, and promotions.
- Support brand visibility and customer acquisition activities.
- Attend meetings and external business discussions when required.
8. Staff Performance Management
- Monitor staff performance and behavior across all branches.
- Maintain individual staff performance records.
- Identify training needs and improvement areas.
- Support staff development, motivation, and team coordination.
9. Reporting & Management Coordination
- Prepare daily operational reports with key observations and actions.
- Conduct weekly management meetings with agenda and minutes.
- Track issues, decisions, and follow-up actions until completion.
The role serves as a key management support function ensuring operational control, service quality, cost efficiency, staff discipline, and business growth across all branches.
