Job Title: Operations Assistant

Location: Dubai Outsource City, Building 6, Office 206

Employment Type: Full-Time (Monday–Saturday, 9 AM – 7 PM)

Reports To: CEO / Business Development Manager

PARFUMERY is a Dubai-based custom perfume experience company redefining the art of scent personalization. We craft bespoke perfumes, diffusers, and candles, and bring memorable olfactory experiences to individuals and corporate clients through workshops, gifting, and events. Every creation is a reflection of craftsmanship, design, and emotion — a memory captured in scent.

Role Overview

The Operations Assistant is a pivotal role responsible for executing projects from start to finish once confirmed by the Business Development team. Whether it’s a corporate gifting order, custom perfume batch, or a brand experience event, this person ensures flawless delivery — on time, within budget, and aligned with brand standards.

This is not an administrative role — it’s an ownership role that demands initiative, communication, and coordination across departments (design, production, purchasing, logistics, and client servicing).

Key ResponsibilitiesProject Execution & Coordination

  • Take full ownership of projects handed over by the Business Development team — from confirmation to final delivery.
  • Create and manage project timelines, production schedules, and quality checkpoints.
  • Coordinate with design, production, and procurement teams to ensure smooth workflow and timely output.
  • Liaise with clients when required for confirmations, delivery details, and progress updates.
  • Oversee packaging, labeling, and personalization tasks for gifting and event orders.
  • Supervise product assembly, quality control, and dispatch.

Operational Support

  • Maintain and update project documentation, task sheets, and order trackers.
  • Manage vendor follow-ups, purchase requests, and courier arrangements.
  • Support event setups and ensure materials, inventory, and logistics are prepared in advance.
  • Ensure all completed projects are photographed, logged, and recorded in the system.

Team & Process Management

  • Support the establishment and enforcement of SOPs for production and delivery.
  • Identify inefficiencies or recurring issues and propose solutions for improvement.
  • Work closely with Admin and Design teams to ensure brand and quality consistency across deliverables.

Skills & Requirements

  • Minimum 2 years of experience in operations, coordination, or project execution roles (hospitality, events, retail, or production background preferred).
  • Exceptional organizational and time management skills — ability to juggle multiple projects simultaneously.
  • Strong verbal and written communication.
  • Fluent in English (Arabic or Urdu is a plus).
  • High attention to detail, with a strong sense of accountability and ownership.
  • Proficiency in MS Office / Google Workspace tools (Sheets, Docs, Drive).
  • Familiarity with basic inventory management and production tracking is an advantage.

Compensation

  • AED 4000 (All-Inclusive)
  • 3-Month Probation Period
  • Performance Review at 6 Months
  • Potential for growth into Operations Executive / Manager role based on performance

Job Type: Full-time

Pay: AED3,500.00 - AED4,500.00 per month
