Job Description: Operations Assistant
Position Overview
The Operations Assistant will support the day-to-day operations of the Training and Development division, ensuring smooth coordination across multiple functions including content development, trainer management, AI-assisted design, IT administration, CRM operations, and digital media production. This role requires a proactive, tech-savvy individual who can multitask effectively in a fast-paced training business environment.
Key Responsibilities
- Assist in managing end-to-end training operations, including scheduling, trainer coordination, and logistics.
- Support training content development using AI tools and applications such as ChatGPT, Canva, and PowerPoint.
- Coordinate with external trainers and manage trainer onboarding, contracts, and documentation.
- Support IT functions including management of hardware, software, and troubleshooting basic system issues.
- Assist in Microsoft 365, Azure, and SharePoint setup, user access, and file organization.
- Manage data entry, follow-ups, and reporting through Zoho CRM for sales and client tracking.
- Coordinate graphic design and infographics creation for marketing and course materials.
- Oversee digital printing, binding, and physical material preparation for workshops and events.
- Maintain accurate records, documentation, and reports related to operational and administrative functions.
- Collaborate cross-functionally with sales, trainers, and management to streamline workflows and ensure timely delivery of outputs.
Qualifications and Experience
- Bachelor’s degree in Business Administration, Information Technology, or a related field.
- Minimum 2–4 years of experience in operations, preferably within the training, consulting, or education sector.
- Hands-on experience with AI tools (e.g., ChatGPT, Canva), Microsoft 365, SharePoint, and CRM systems (preferably Zoho).
- Basic knowledge of IT systems (hardware, software installation, troubleshooting).
- Experience in graphic design, infographics, or content development will be an added advantage.
Skills and Competencies
- Strong organizational and multitasking abilities.
- Excellent communication and coordination skills.
- Proficient in Microsoft 365 Suite, SharePoint, and Azure environment.
- Familiarity with AI-based content and visual creation tools.
- Attention to detail and ability to manage documentation accurately.
- Proactive problem-solver with a positive, service-oriented attitude.
- Ability to work collaboratively with cross-functional teams.
Reporting Structure
The Operations Assistant will report directly to the Operations Manager or Managing Director and will coordinate closely with the Training Coordinator, IT Support, and Sales teams.
