Operations Assistant

Job Overview
We are seeking a dynamic and highly organized Operations Assistant to join our team! Duties

  • Provide comprehensive executive administrative support, including calendar management, appointment scheduling, and email correspondence.
  • Assist with event planning and coordination for company meetings, workshops, and special events.
  • Manage bookkeeping tasks using QuickBooks or similar accounting software, including invoicing, expense tracking, and financial record keeping.
  • Handle data entry, filing, and document proofreading to ensure accuracy and organization across all office records.
  • Support front desk operations by answering multi-line phone systems with professional phone etiquette and greeting visitors courteously.
  • Coordinate projects by tracking deadlines, preparing reports, and ensuring timely completion of tasks.
  • Utilize Google Workspace and Microsoft Office tools for document creation, transcription, and collaborative work.

Requirements

  • Proven experience in office management or administrative roles with a strong background in clerical tasks.
  • Demonstrated skills in event planning, project coordination, and executive administrative support.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
  • Familiarity with QuickBooks for bookkeeping and financial record management.
  • Excellent organizational skills with the ability to prioritize multiple tasks efficiently.
  • Strong typing skills along with experience in data entry and transcription.
  • Knowledge of multi-line phone systems, calendar management (including Microsoft Outlook Calendar), and office filing systems.
  • Exceptional customer service skills combined with professional phone etiquette.
  • Computer literacy across various platforms with a keen eye for proofreading and detail-oriented work.
