This role is a trusted operational partner who brings strong administrative depth, people-centered judgment, and systems thinking to operations, recruiting, and People & Culture initiatives. This is not an entry-level administrative position. The ideal candidate has experience operating in complex, fast-moving environments and is comfortable exercising discretion, prioritization, and independent decision-making within defined boundaries. This role is based out of our Loveland, Colorado office.

- Collaborate fluidly across Operations, Recruiting, and People & Culture, adapting communication style to different audiences.

- Independently prioritize and manage multiple concurrent workstreams while maintaining quality and consistency.
General Responsibilities-including, but not limited to:
Advanced Scheduling & Interview Coordination
- Own complex, high-volume scheduling across candidates, interview panels, executives, and internal teams
- Maintain consistent, professional calendar standards across recruiting and operations workflows
- Serve as a professional first point of contact for candidates and internal stakeholders
- Represent the organization with clarity, confidence, warmth, and discretion
- Drive accurate, timely interview logistics with a strong focus on candidate experience
- Proactively anticipate conflicts, adjust quickly to changes, and resolve scheduling issues before they escalate
People & Culture Operations Support (Non-Sensitive)
- Coordinate onboarding and offboarding logistics and people-process administration
- Maintain accurate people-related trackers and operational data
- Support engagement initiatives, internal communications, and culture-focused events
Office & Business Operations
- Oversee office supply and restocking with proactive planning of multiple offices.
- Support a consistent, welcoming office experience for employees, candidates, and visitors
- Assist with company events, meetings, and volunteer initiatives.
- Support expense tracking, invoices, purchase orders, and operational projects.
- Assist with SOP updates, audits, and project tracking.
- Partner closely with Operations, Recruiting, and People & Culture teams.
- Provide coverage and continuity through cross-training.
- Adapt to evolving processes and contribute practical improvement ideas.
Required Skills/Abilities:
- Advanced Organizational Skill: Demonstrated ability to manage complex schedules, competing priorities, and interdependent workflows.
- High Attention to Detail: Exceptional accuracy with names, dates, systems, and communications.
- Judgment & Discretion: Experienced handling people-related information with professionalism and clear boundaries.
- Strong Written & Verbal Communication: Comfortable drafting polished messages and interacting with senior leaders and candidates.
- Operational Ownership: Takes responsibility for outcomes, not just assigned tasks.
- Technology: Strong working knowledge of Microsoft 365 and comfort learning new tools and workflows.
- Reliability & Accountability: Consistent follow-through, time management, and trustworthiness.
- Adaptability: Effective in changing environments with shifting priorities and timelines.
- Dependable: Reliable and trustworthy, consistently meeting deadlines and maintaining confidentiality in handling sensitive information.
- Team Player: Works collaboratively with executives, team members, and external partners, contributing to a cohesive and productive work environment.
Education and Experience:
- High School Diploma or GED required; additional education or professional certifications preferred.
- Minimum 2-4 years of progressive administrative, operations, or coordination experience.
- Proven experience supporting complex scheduling, people-facing workflows, or recruiting operations.
- Strong proficiency with Microsoft 365 (Outlook, Teams, SharePoint, Excel, Forms).
- Valid Driver’s License with reliable transportation supporting multi-office operations on the front range.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Able to lift 20 lbs.

Salary: $24-28.50/hour
