Operations Assistant

Position Overview

We are seeking a highly organized, detail-oriented, and proactive Operations Assistant to support the Chief Operating Officer and assist with the day-to-day operations of our growing general contracting company. This is a newly created position designed to provide operational, administrative, and field support across multiple service lines, including apartment renovations, apartment turns, painting, cleaning, carpet cleaning, and maintenance staffing services for multifamily communities.The ideal candidate is dependable, adaptable, and comfortable balancing office responsibilities with occasional field visits to ensure quality standards are met. This role offers an excellent opportunity to gain broad exposure to construction operations, property services, customer relations, and business administration.

Key ResponsibilitiesOperations Support

  • Assist the COO with daily operational activities and special projects.
  • Help coordinate and track renovation, turn, painting, cleaning, and maintenance projects.
  • Maintain project schedules and assist with workflow management.
  • Monitor project progress and communicate updates to management.
  • Assist with process improvement initiatives and operational efficiency efforts.

Quality Assurance & Inspections

  • Conduct quality inspections of completed apartment turns, renovations, painting, cleaning, and carpet cleaning services.
  • Verify units meet company and client standards prior to resident move-in.
  • Document deficiencies and coordinate corrective actions with field teams.
  • Complete inspection reports and maintain quality control records.

Administrative Support

  • Manage calendars, appointments, and scheduling for operations leadership.
  • Assist with data entry, document management, and record keeping.
  • Prepare reports, spreadsheets, and operational documents.
  • Maintain organized filing systems and company records.
  • Assist with invoicing, work order tracking, and other administrative tasks as assigned.

Customer Service & Communication

  • Respond to customer emails and inquiries in a professional and timely manner.
  • Communicate with property managers, apartment community staff, vendors, and internal team members.
  • Assist with coordinating service requests and project scheduling.
  • Provide excellent customer service while representing the company professionally.

General Office Responsibilities

  • Support daily office operations and administrative functions.
  • Assist with onboarding documentation and employee records as needed.
  • Coordinate meetings and prepare meeting notes when necessary.
  • Perform other duties and special projects as assigned by the COO.

Qualifications Required

  • High school diploma or equivalent.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Basic proficiency with Microsoft Office (Word, Excel, Outlook) and email communication.
  • Ability to multitask and manage competing priorities.
  • Strong attention to detail and problem-solving skills.
  • Valid driver's license and reliable transportation.
  • Ability to work independently while maintaining accountability.
  • Positive attitude and willingness to learn.

Preferred But Not Required

  • Previous experience in administrative support, customer service, construction, property management, maintenance operations, or a related field.
  • Experience conducting inspections or quality assurance reviews.
  • Familiarity with scheduling software, work order systems, or project tracking tools.

No prior industry experience is required. We are willing to train the right candidate who demonstrates strong organizational skills, professionalism, reliability, and a desire to grow with our company.Physical Requirements

  • Ability to travel between apartment communities and job sites as needed.
  • Ability to walk multiple apartment units during inspections.
  • Ability to occasionally lift up to 25 pounds.
  • Ability to work in both office and field environments.
