Operations & Client Services Coordinator

ProactiveRISK (www.proactiverisk.com) is a growing cybersecurity and managed services firm supporting businesses across regulated industries (legal, healthcare, and professional services).

We are looking for a organized, reliable, and motivated individual to join our team at our new office opening in July as an Operations & Client Services Admin/Coordinator. This is an entry-level role with significant growth opportunity, working directly alongside company leadership and playing a key role in daily operations and growth.

This position is ideal for someone who wants to gain real-world exposure to business operations, client interaction, and the inner workings of a start-up and growing IT/MSP company. This role is in-person daily in the office 9am - 5:30pm at 36 1st Ave, 2nd Floor, Denville, NJ 07834

Key Responsibilities Operations & Administrative Support

  • Answer phones and log incoming communications (tickets)
  • Take and relay messages in a professional manner
  • Process incoming and outgoing mail taking actions as needed
  • Maintain office organization and daily readiness (opening/closing)
  • Order office supplies and track inventory
  • Assist with filing, documentation, and record keeping
  • Assist with client facing events

Vendor & Order Processing

  • Place and track orders with distributors (Pax8, TD SYNNEX, etc.)
  • Log invoices and ensure accuracy of vendor transactions (QuickBooks)
  • Assist with client procurement and order fulfillment
  • Maintain organized records of purchases and deliveries (HubSpot/HaloPSA)

Executive & Team Support

  • Assist with scheduling meetings and calendar coordination
  • Track action items and follow up on outstanding tasks
  • Support internal team operations and communication
  • Help prepare materials for meetings and client interactions

Client & Public-Facing Support

  • Represent ProactiveRISK professionally on phone and in person
  • Assist at trade shows, events, and client meetings
  • Perform follow-ups with leads and clients as directed
  • Help maintain a positive client experience

Compensation Structure

  • Hourly Pay: $18–$22 per hour (based on experience)
  • Annual Performance Bonus: $2,000–$5,000 (based on company and individual performance)
  • Additional Performance Incentives: Available as role expands
  • Growth Path: Opportunity to grow into a senior operations or management role

Preferred

  • Experience with Microsoft Office 365 / Windows Professional
  • Prior customer service or office experience
  • Veteran, First Responder A++

Pay: $18.00 - $22.00 per hour
