The Operations Coordinator acts as the central link between the CEO and all internal departments. This role ensures that all tasks, instructions, follow-ups, and projects assigned by the CEO are executed smoothly, on time, and with complete visibility.

The person will coordinate across Operations, HR, Finance, Sales, Workshop, Dispatch, Control Room, and Admin to ensure alignment with the CEO’s directives.
This role is critical for organizational discipline, accountability, communication flow, and task execution.

Key Responsibilities

1. CEO Task Execution & Follow-Up

  • Receive tasks, instructions, and action points directly from the CEO.
  • Break down CEO directives into clear steps and assign them to the relevant departments.
  • Track progress for each task and ensure timely completion.
  • Maintain a master CEO Task Tracker with deadlines, owners, status, and outcomes.
  • Prepare daily/weekly summaries for the CEO on what has been completed and what is pending.
  • Escalate delays, issues, or blockers to the CEO when needed.

2. Cross-Department Coordination

  • Act as the communication bridge between the CEO and department heads.
  • Ensure clarity of instructions and remove misunderstandings between teams.
  • Support CEO in coordinating multi-department initiatives (e.g., new projects, audits, reports).
  • Help teams understand expectations, timelines, and deliverables.
  • Gather updates, verify correctness, and report them to the CEO.

3. Operational Oversight & Monitoring

  • Oversee daily operations and identify key issues requiring CEO attention.
  • Monitor department KPIs where required and prepare quick summaries.
  • Assist in aligning team performance with company goals and CEO priorities.
  • Highlight inefficiencies, delays, or lack of compliance when they occur.
  • Ensure operational tasks assigned by the CEO are fully documented and tracked.

4. Reporting & Documentation

  • Prepare concise updates, reports, and dashboards for the CEO.
  • Ensure all submitted reports (Ops, HR, Finance, Sales, Dispatch, Workshop, etc.) meet expected standards.
  • Maintain organized documentation for all CEO-approved decisions.
  • Record minutes of meetings chaired by the CEO and distribute action points.

5. Project Support

  • Support the CEO in the execution of new initiatives, expansions, or company-wide improvements.
  • Coordinate timelines, resources, and team responsibilities.
  • Follow up with stakeholders to ensure project milestones are met.
  • Provide administrative and analytical support to CEO for strategic projects.

6. Communication & Stakeholder Handling

  • Serve as the first point of contact for internal communication directed toward the CEO.
  • Maintain professional communication with all senior managers and team leads.
  • Assist CEO in preparing internal announcements, circulars, or directives.
  • Maintain confidentiality on all sensitive matters.

7. Administrative Support for CEO Office

  • Manage CEO calendar for internal follow-ups and review meetings.
  • Schedule coordination meetings with departments on behalf of the CEO.
  • Organize documents, task files, and correspondence.
  • Handle urgent matters by prioritizing tasks effectively.

Required Skills & Qualifications

  • Bachelor’s degree in Business Administration, Management, or relevant field.
  • 1–3 years of experience in operations coordination, project management, or executive-level support.
  • Strong command of Excel, Google Sheets, and task management tools (Notion/Trello/Asana).
  • Excellent communication and follow-up skills.
  • Ability to manage multiple tasks and deadlines simultaneously.
  • Analytical thinker with problem-solving abilities.
  • High degree of professionalism, confidentiality, and trustworthiness.

Job Type: Full-time

Pay: Rs60,000.00 - Rs65,000.00 per month

Work Location: In person
