PURPOSE OF POSITION

The primary purpose of the Operations Coordinator role is to ensure the efficient and timely movement of freight from pickup through delivery. This position is responsible for coordinating all aspects of shipment execution, including working with trucking companies, scheduling appointments, and tracking loads in transit.

Under general guidance, the Operations Coordinator manages the day-to-day activities required to successfully move freight while collaborating with internal teams to support service excellence. This role requires strong organizational skills, attention to detail, and the ability to operate with urgency in a fast-paced environment.

DUTIES

  • Coordinate the movement of freight from pickup through delivery by working closely with trucking companies and internal teams
  • Source, vet, and secure qualified carriers to ensure reliable transportation coverage
  • Negotiate transportation rates within established guidelines to support efficient load execution
  • Schedule and confirm pickup and delivery appointments, considering timing, distance, and operational constraints
  • Prepare and review shipment documentation to ensure accuracy and compliance prior to dispatch
  • Dispatch loads and provide clear instructions to carriers to ensure successful execution
  • Track shipments in transit and perform regular check calls to ensure on-time delivery and resolve issues proactively
  • Communicate timely updates, including ETAs and service status, to internal teams and customers as needed
  • Maintain accurate and up-to-date information within company systems and tracking tools
  • Identify and escalate service issues, and take corrective action to minimize disruptions
  • Review freight billing for accuracy and assist in resolving discrepancies when needed
  • Generate reports and provide operational updates to support team performance and decision-making
  • Manage a high volume of phone calls and emails in a fast-paced, deadline-driven environment
  • Deliver a high level of service by ensuring shipments are handled efficiently and professionally
  • Perform additional duties and support team initiatives as needed

SKILLS AND QUALIFICATIONS

  • Ability to thrive in a fast-paced, deadline-driven environment with frequently changing priorities
  • Strong sense of urgency and ability to manage multiple tasks simultaneously while maintaining accuracy
  • Self-motivated with the ability to take initiative and work independently with minimal supervision
  • Solid problem-solving skills with the ability to quickly assess situations and make sound decisions
  • Excellent verbal and written communication skills, with a professional and responsive approach
  • Strong attention to detail and organizational skills
  • Comfortable working with computers and business software (email, spreadsheets, internal systems)
  • Ability to learn new systems and processes quickly
  • Basic understanding of geography, time management, and route planning is a plus
  • Ability to handle high volumes of communication (phone and email) in a professional and efficient manner

Pay: $20.00 - $25.00 per hour
