Operations Coordinator - Remote (US time zone)

WeatherMaster Windows & Doors is a fast-growing, locally owned company serving homeowners and contractors across the Mid-Atlantic. We pride ourselves on precision, accountability, and delivering a seamless customer experience—no surprises on installation day.

We operate across three core divisions:

  • Retail (homeowners)
  • Wholesale (contractors & walk-ins)
  • Service (post-install support)

We are looking for someone who thrives in structured environments, loves checklists, and takes ownership of outcomes.

Role Overview

This role is the operational backbone of the company. You will manage workflows across retail jobs, wholesale orders, and service coordination—ensuring nothing falls through the cracks.

You are not just “processing tasks”—you are owning the flow from contract to completion.

Key ResponsibilitiesRetail Operations (Homeowner Jobs)

  • Review and process approved contracts
  • Move jobs through pipeline:
  • Contract → Measure → Pre-Production
  • Ensure all documentation is complete and accurate before production
  • Coordinate final payment collection
  • Process:
  • Sales commissions
  • Installer payments
  • Supplier payments
  • Flag discrepancies before they become problems

Wholesale Operations (Contractors & Walk-ins)

  • Assist walk-in and inbound wholesale customers
  • Process real-time orders quickly and accurately
  • Confirm pricing, specs, and availability
  • Collect payments from customers
  • Coordinate order pickups and communication

Service Operations

  • Manage service technician paperwork
  • Ensure service jobs are properly documented and closed
  • Follow up on incomplete or missing information

What Success Looks Like

  • Jobs move smoothly from contract → install → closeout
  • No payment delays (installers, reps, suppliers all paid on time)
  • Wholesale customers get fast, accurate responses
  • Zero confusion on job status
  • Problems are caught before they reach the customer

Ideal Candidate

  • Extremely detail-oriented (you catch what others miss)
  • Strong sense of ownership and accountability
  • Comfortable managing multiple workflows at once
  • Process-driven (loves checklists, systems, and structure)
  • Strong communication skills (clear, concise, proactive)
  • Tech-comfortable (CRM, spreadsheets, project management tools)

Bonus (Not Required)

  • Experience in construction, windows/doors, or home improvement
  • Experience with tools like:
  • Monday.com / Trello / CRM systems
  • QuickBooks or invoicing tools

Job Type: Full-time

Pay: ₹450,000.00 - ₹600,000.00 per year
