1. Service Coordination & Execution
- Coordinate and supervise daily FM activities across sites (maintenance, preventive &
corrective, soft services, waste management, MEP, cleaning).
- Schedule preventive maintenance (PM), reactive maintenance, and corrective works
according to agreed frequency and standards.
- Liaise with site supervisors, technicians, subcontractors and vendors to ensure timely
service delivery.
- Ensure all work orders, service requests, and client instructions are logged, tracked and
completed.
2. Client & Vendor Management
- Act as primary point of contact for clients regarding service requests, complaints, and
feedback.
- Manage vendor relationships: request quotations, coordinate site visits, monitor vendor
performance and compliance with UAE standards and contract terms.
- Ensure all FM activities meet UAE health, safety, and environmental regulations (e.g.
waste disposal, hazardous materials, electrical/mechanical safety compliance).
3. Documentation & Reporting
- Maintain and update: asset registries, equipment inventories, maintenance logs, service
request tracker, vendor database, waste disposal records.
- Prepare and submit daily/weekly/monthly FM reports: work orders status, service
completion, downtime logs, maintenance backlog, incidents.
- Update CAFM and manual logs in compliance with company standards.
4. Resource & Inventory Management
- Monitor consumption of materials, tools, cleaning supplies, spare parts; raise
procurement requests as needed.
- Coordinate manpower allocation and shift scheduling at multiple sites.
- Assist in planning and scheduling site visits, vendor mobilization, logistic support for
equipment/machinery.
5. Health, Safety & Compliance
- Ensure FM operations adhere to UAE and company HSE (Health, Safety, Environment)
policies, including safe handling of chemicals, waste, and mechanical/electrical works.
- Support regular inspections, audits, and safety compliance checks at sites.
- Report incidents, accidents or non-compliance, and coordinate corrective actions.
6. Customer Service & Quality Assurance
- Ensure high standards of cleaning, maintenance, and services in line with client
expectations and UAE regulatory standards.
- Follow up on client feedback; coordinate corrective action where needed.
Qualifications & Competencies
- Diploma or Bachelor’s in Engineering, Facilities Management, Business Administration,
or related field.
- 2–5 years of experience managing FM operations (preferably in the GCC / UAE region)
— exposure to UAE regulations is a plus.
- Familiarity with UAE FM regulations, safety & compliance requirements, municipal
codes (for waste disposal, fire safety, electrical/mechanical).
- Proficient with MS Office (Excel, Outlook, Word).
- Strong communication skills.
- Ability to manage multiple sites, prioritize tasks, coordinate teams and vendors.
- Good organizational and administrative skills, attention to detail.
- Problem-solving mindset, customer-oriented, proactive, and able to work under pressure.
