Operations Executive-Corporate Health Check-ups/OPD

Job Summary:

The Operations Executive is responsible for the end-to-end coordination and execution of corporate health check-up programs, ensuring a seamless experience for corporate clients and their

employees. This includes managing client coordination, floor operations, housekeeping, billing, doctor/vendor management, and MIS reporting. The role is both administrative and operational and requires cross-functional coordination to maintain efficiency, service quality, and customer satisfaction.

Key Responsibilities:

1) Corporate Health Check-Up Coordination

  • Act as a single point of contact for corporate & health Aggregators
  • Coordinate health check-up schedules at the diagnostic centre or onsite at the corporate location.
  • Share health check-up packages, consent forms, and information kits with clients.
  • Ensure smooth onboarding and registration of corporate employees.

2) Floor Management

  • Supervise daily operations on the diagnostic centre floor, ensuring:

§ Smooth patient/client flow from registration to consultation to sample collection.

§ Proper signage and directions are maintained.

§ Minimal waiting time for corporate patients.

  • Coordinate between departments (OPD, pathology, radiology, etc.) for efficient service delivery.

Housekeeping & Facility Hygiene

  • Monitor housekeeping staff for cleanliness in all patient-access areas.
  • Ensure consultation rooms, sample collection areas, restrooms, and waiting areas are sanitized and well-maintained.
  • Ensure proper waste disposal as per biomedical waste norms.
  • Check that breakfast and water arrangements are hygienically maintained.

Breakfast & Hospitality Management

  • Coordinate the availability of appropriate breakfast/snack options for fasting client/patients
  • Ensure food is served in a hygienic and timely manner after fasting tests.
  • Liaise with the catering vendor or in-house kitchen to manage inventory and timely service.

Billing & Accounts Coordination

  • Ensure accurate billing is done for individual and bulk corporate health check packages.
  • Generate invoices and share them with the corporate accounts team as per agreed formats.
  • Maintain records of payments received, pending, and follow-up with clients or internal accounts team.
  • Coordinate with the accounts department to reconcile outstanding balances and vendor payments.

MIS & Reporting

  • Maintain and update daily/weekly/monthly MIS reports on:

§ Number of check-ups conducted

§ Tests completed vs. pending

§ Report delivery timelines

§ Revenue collection

§ Feedback and complaints

  • Present data-driven insights to management and corporate clients.
  • Prepare final health check-up reports and summaries for corporate/aggregator teams.

Doctor & Medical Staff Coordination

  • Ensure doctor availability as per schedule.
  • Coordinate with consultants, radiologists, and technicians to manage patient flow.
  • Ensure timely consultation and report preparation.
  • Address doctor concerns related to scheduling or logistics.

Vendor Management

  • Coordinate with vendors for:

§ Lab supplies

§ Stationery

§ Housekeeping materials

§ Breakfast/snack services

  • Maintain inventory logs and ensure timely procurement.
  • Negotiate service levels and monitor vendor performance.
  • Handle vendor payments in coordination with accounts.

IT & Software Handling

  • Use diagnostic/healthcare software to manage patient registration, billing, and report generation.
  • Ensure correct patient data entry and recordkeeping.
  • Report technical issues to IT support and follow up for resolution.

Customer Experience & Issue Resolution

  • Collect patient feedback at the end of the visit.
  • Handle on-the-spot queries, complaints, or service escalations.
  • Provide regular updates to corporate clients during large health camps.
  • Take corrective actions to improve overall service delivery.

Skills & Competencies

  • Strong coordination and multitasking skills.
  • Professional communication and client handling.
  • Time and resource management.
  • Working knowledge of diagnostic centre operations.
  • Basic understanding of medical terminology.
  • Proficiency in Excel, Google Sheets, MIS, and healthcare management software.
  • Attention to detail and problem-solving.

Educational Qualifications

  • Bachelor’s degree in Healthcare Management, Business Administration, Life Sciences, or related fields.
  • Diploma or Certification in Hospital/Healthcare Administration is a plus.

Work Schedule

  • 6 days a week, including early morning shifts (for fasting blood tests and corporate check- ups).
  • Occasional travel to corporate sites for health camps.

Job Type: Full-time

Pay: ₹15,000.00 - ₹20,000.00 per month
