Operations Executive

About Sirius Logistics

Sirius Logistics is a UAE-based international freight forwarding company specializing in air freight, sea freight, and multimodal logistics across the UAE, CIS, Turkey, and Europe corridors. We are opening our Istanbul branch to serve Turkey-UAE, Turkey-CIS, and Turkey-Europe trade lanes.

Role Summary
We are hiring an Operations Executive to run the day-to-day logistics operations of our new Istanbul branch. This is a hands-on execution role. We need someone who personally handles shipments, coordinates with airlines and customs brokers, manages documentation, and solves problems in real time.

Key Responsibilities

  • Airport Cargo Handling: Coordinate inbound and outbound air cargo at Istanbul Airport (IST). Liaise with Turkish Cargo, Celebi, Havas, and other ground handling agents. Manage AWB processing, cargo acceptance, and delivery scheduling.
  • Customs Coordination: Work directly with our outsourced customs broker (Gumruk Musaviri) for all import/export declarations via BILGE system. Ensure correct regime codes, documentation, and timely clearance. Handle red/yellow/green channel situations.
  • Dangerous Goods (DG) Handling: Process DG shipments per IATA DGR. Ensure proper classification, packaging verification, documentation (Shipper’s Declaration), and acceptance checks. Coordinate with airlines for DG acceptance.
  • Transportation & Delivery: Arrange local pickup and delivery in Istanbul and across Turkey. Coordinate with trucking companies for last-mile delivery. Manage transit shipments to CIS via road (TIR) and rail (BTK/Middle Corridor).
  • Vendor Management: Manage relationships with customs brokers, ground handlers, trucking companies, warehouse operators, and airline cargo agents. Negotiate rates. Monitor service quality.
  • Documentation: Prepare and verify all shipping documents: AWBs, commercial invoices, packing lists, certificates of origin, customs declarations (GTB). Ensure e-Fatura compliance for Turkish invoicing.
  • Client Communication: Provide real-time shipment updates to clients. Handle urgent requests including AOG (Aircraft on Ground) situations. Respond within 2 hours during business hours.
  • Reporting: Weekly operational report to Dubai HQ: shipment count, issues, vendor performance, pipeline status.

Required Qualifications

  • Experience: Minimum 3 years in freight forwarding operations in Turkey. Must have hands-on experience at Istanbul Airport (IST) cargo operations.
  • Airport Knowledge: Direct experience with IST Cargo City operations. Familiarity with Turkish Cargo (SmartIST), Celebi, Havas, or MNG handling.
  • DG Handling: IATA DGR certification or equivalent. Experience processing dangerous goods shipments by air.
  • Customs: Working knowledge of Turkish customs procedures, BILGE system, risk channels (green/yellow/red), and common regime codes (4000, 1000, 7100).
  • Languages: Turkish (native) + English (business fluent). Russian or Arabic is a strong plus.
  • Education: Bachelor’s degree in logistics, international trade, or equivalent work experience.
  • Tools: Comfortable with freight management software, e-mail-based operations, and basic ERP systems.

What We Are NOT Looking For

  • Candidates seeking a “Branch Manager” title who want to build strategy rather than execute shipments.
  • Candidates who require a large team under them to function. You will be the team initially.
  • Candidates who cannot personally handle airport coordination, customs follow-up, and documentation.
  • Candidates whose main experience is domestic Turkish logistics without international freight exposure.

Compensation & Benefits

  • Base Salary: TRY 70,000 gross per month (fixed, 12 months guaranteed).
  • Performance Bonus: 13th and 14th month salary based on: (a) branch financial performance targets met, and (b) individual operational KPIs achieved. This is not guaranteed — it is earned.
  • Social Security: Full SGK coverage as per Turkish law.
  • Working Hours: On-site, standard Turkish business hours. Hybrid arrangement possible after successful 2-month probation and demonstrated reliability.
  • Growth: This branch is being built from zero. Strong performers will grow with the operation.
