About UsThe Heartland Roadshow, established in 2009, is a premier buyer of estate jewelry, precious metals, gold and silver coins, antiques, and collectibles. If you’ve ever seen “Antiques Roadshow,” this is similar to what we do. We set up boutique “buying events” at various hotel locations throughout the region, where folks come to sell us their estate items—primarily gold, silver, coins, and watches.

Position OverviewWe are seeking a highly organized and detail-oriented Operations & Logistics Manager to oversee show scheduling, buyer scheduling, and travel logistics for our teams across the Heartland Roadshow. This role is central to ensuring our events run smoothly, efficiently, and on schedule. The ideal candidate thrives in a fast-paced environment, can juggle multiple priorities, can manage a team of people and has a knack for solving operational challenges before they become issues.

Key Responsibilities

This role will oversee and manage the following operational departments, ensuring they run efficiently, effectively, and in alignment with Heartland Roadshow standards:

Show Scheduling

The Operations & Logistics Manager will lead the full lifecycle of event planning, from market selection through final confirmation. Responsibilities include working with your dedicated team to:

  • Providing strategic oversight as hotels within targeted cities are identified and evaluated for Roadshow events.
  • Guiding the negotiation and contracting process to secure meeting space while maintaining strong, dependable relationships with hotel partners.
  • Ensuring the master event calendar is meticulously maintained, with all show details finalized, accurate, and communicated across all relevant teams.
  • Implementing processes and timelines to ensure show logistics are planned proactively and executed consistently.

Buyer Scheduling

The Operations & Logistics Manager will oversee staffing operations to support successful Roadshow events. Responsibilities include working with your dedicated team to:

  • Supervising the assignment of buyers to events based on skill sets, performance, experience levels, and show-specific requirements.
  • Ensuring staffing levels are appropriate and aligned with expected show volume and complexity.
  • Leading communication between buyers, regional leadership, and supporting departments to ensure alignment, clarity, and readiness.
  • Monitoring team capacity, workload, and performance to optimize staffing efficiency.

Travel Planning

The Operations & Logistics Manager will own the travel operations function, ensuring staff travel is arranged accurately and cost-effectively. Responsibilities include working with your dedicated team to:

  • Overseeing the arrangement of travel accommodations, including flights, hotels, and rental cars for all team members as needed.
  • Implementing systems to track and manage all travel itineraries, ensuring accuracy, organization, and proactive issue resolution.
  • Monitoring travel-related challenges and leading swift problem-solving to minimize disruptions to show operations.
  • Reviewing travel patterns and costs to identify opportunities for improvement, negotiation, and enhanced efficiency.
  • Properly accounting for all expenses and ensuring compliance within expense reporting requirements.

About You

  • 1+ years of experience in operations, logistics, scheduling, or event coordination.
  • 1+ years of people management experience, with proven ability to lead, hold accountable and support teams.
  • Excellent recall of information with the ability to absorb, retain, and track a high volume of details.
  • Exceptional multitasking abilities with the capacity to handle a wide variety of concurrent tasks and deadlines.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency with scheduling tools, spreadsheets, and general office software.
  • Experience in complex scheduling, event based logistics or travel planning at large scale is a plus.
