ABOUT THE ROLE

We are seeking an experienced and highly capable Operations Manager to lead and optimize multi-department operations in a fast-paced, evolving environment. This role requires a leader who excels in data-driven decision-making, operational forecasting, problem resolution, and process optimization—while managing multiple teams and maintaining strong availability for staff.

KEY RESPONSIBILITIES

Strategic Leadership & Multi-Department Oversight

  • Lead daily operations across several departments simultaneously, ensuring consistent performance, communication, and workflow execution.
  • Manage and support multiple employees and leads, providing coaching, accountability, and performance development.
  • Maintain approachability and availability for staff while balancing execution of personal operational responsibilities.

Data-Driven Decision Making

  • Analyze detailed operational, financial, and staffing reports to identify trends, risks, and opportunities.
  • Use data insights to make informed business decisions, drive performance improvements, and adjust workflow strategies.
  • Create volume and capacity forecasts to support staffing, scheduling, and resource allocation.

Operational & Workforce Management

  • Oversee employee scheduling, shift assignments, PTO coordination, and coverage planning based on volume projections.
  • Anticipate staffing needs, recommend hiring decisions, and support onboarding of new team members.
  • Demonstrate flexibility to work extended or longer days when operations demand additional oversight or troubleshooting.

Problem Resolution & Risk Management

  • Take ownership of operational challenges, using analytical and critical-thinking skills to diagnose root causes.
  • Implement effective, timely solutions that prevent recurrence and strengthen operational stability.
  • Escalate appropriately but sparingly—demonstrating independence, sound judgment, and the ability to resolve most issues autonomously.

Process Optimization & SOP Governance

  • Evaluate existing workflows and identify gaps in efficiency, communication, or performance.
  • Develop and refine SOPs and implement standardized processes across all departments.
  • Ensure consistency, compliance, and operational excellence as the organization grows.

Billing, Pharmacy, & Administrative Coordination

  • Partner with billing and accounts receivable teams to support documentation accuracy, reconciliations, and performance metrics.
  • Oversee pharmacy coordination, including medication inventory management, billing workflows, and process audits.
  • Manage month-end closing tasks, reporting outputs, and operational summaries for leadership.

Change Management & Cross-Functional Collaboration

  • Lead teams through operational changes, ensuring understanding, alignment, and adoption across departments.
  • Collaborate with stakeholders to ensure goals are aligned and barriers are quickly removed.
  • Support organizational initiatives with resilience, adaptability, and strong communication.

QUALIFICATIONS

Required

  • Strongly preferred minimum of 2 years of supervisory or managerial experience in operations, healthcare support, contact centers, billing, or a similar environment.
  • Proven track record of achieving measurable, tangible results through leadership and process improvements.
  • Strong capability in analyzing operational and financial data and making strategic business decisions based on those insights.
  • Demonstrated ability to operate independently with minimal oversight, while maintaining strong communication with leadership.
  • Exceptional problem-solving skills with the ability to diagnose root causes and create effective, sustainable solutions.
  • Strong time management and prioritization skills—able to juggle multi-department oversight, personal tasks, and staff availability.
  • High proficiency with Microsoft Office and technology platforms used for reporting, scheduling, and workflow management.
  • Excellent verbal and written communication skills; capable of coaching, motivating, and influencing others.

Preferred

  • Experience managing multi-site or multi-function operations.
  • Background in healthcare operations, pharmacy management, or billing coordination.
  • Experience developing SOPs and leading operational change initiatives.
  • Strong emotional intelligence and conflict resolution abilities.

Job Type: Full-time

Pay: $57,000.00 - $65,000.00 per year
