Position Overview

The Operations Manager is responsible for overseeing and optimizing the operational performance of the company across three primary departments:

Business Development - Digital Marketing - Administration.

The role focuses on training staff, implementing operational systems, monitoring performance, and ensuring smooth coordination between departments to support the company’s growth and client acquisition goals.

The Operations Manager ensures that internal processes, staff performance, and operational standards are aligned with the strategic objectives of the company.

Key Responsibilities:

1. Department Operations Oversight

Supervise and coordinate the daily operations of the following departments:

Business Development

  • Oversee sales activities and client acquisition strategies
  • Monitor lead generation and conversion performance
  • Implement structured sales processes and pipelines
  • Ensure proper client follow-up and relationship management
  • Review proposals, quotations, and client engagement procedures
  • Develop and monitor sales targets and KPIs

Digital Marketing

  • Supervise digital marketing campaigns and strategies
  • Monitor performance of social media, website traffic, and lead generation campaigns
  • Ensure alignment between marketing activities and business development goals
  • Oversee content creation, advertising campaigns, and brand positioning
  • Review marketing analytics and adjust strategies accordingly

Administration

  • Oversee day-to-day administrative operations of the company
  • Ensure proper documentation, filing systems, and internal communication procedures
  • Coordinate office logistics and operational support functions
  • Ensure compliance with internal company policies and operational standards

2. Staff Training & Development

  • Develop and implement training programs for employees across all departments
  • Create Standard Operating Procedures (SOPs) for key operational processes
  • Train new employees on company systems, workflows, and operational expectations
  • Conduct regular performance coaching and skill development sessions
  • Identify operational gaps and provide targeted training to improve efficiency

3. Process Optimization

  • Design and implement operational systems that improve efficiency and productivity
  • Establish clear workflows between departments
  • Identify operational bottlenecks and implement solutions
  • Standardize processes to ensure consistency in service delivery

4. Performance Monitoring & KPIs

  • Establish and monitor departmental performance metrics
  • Track operational efficiency and employee productivity
  • Prepare operational performance reports for company management
  • Ensure departments meet defined targets and growth objectives

5. Interdepartmental Coordination

  • Ensure effective communication and collaboration between Business Development, Marketing, and Administrative teams
  • Align departmental efforts toward common business objectives
  • Support management in implementing strategic initiatives

6. Reporting & Strategic Support

  • Report operational performance and departmental progress to senior management
  • Provide insights and recommendations to improve company performance
  • Assist in developing operational strategies to support company expansion

Required Qualifications

  • Bachelor’s degree in Business Administration, Management, Marketing, or related field
  • 3–7 years of experience in operations management, business development, or administrative management
  • Strong leadership and team management skills
  • Experience in developing operational processes and training programs
  • Strong analytical and organizational abilities
  • Excellent communication and problem-solving skills

Reporting Line

The Operations Manager reports directly to the Company Director / General Manager.
