Job Overview

Caring Hearts Senior Services is seeking a compassionate, organized, and dependable Operations Manager to assist with the daily operations of our growing home care agency in the Kansas City area. This hybrid position offers flexibility to work remotely while requiring limited in-office hours weekly.

The ideal candidate is a strong communicator who can manage caregiver scheduling, onboard new caregivers and clients, assist with administrative tasks, and help ensure quality care and smooth operations.

Responsibilities

• Coordinate caregiver scheduling and staffing coverage
• Manage caregiver call-offs and shift replacements
• Assist with onboarding and orientation of new caregivers
• Assist with onboarding new clients and collecting required paperwork
• Maintain caregiver and client documentation and compliance records
• Communicate professionally with caregivers, clients, and families
• Support recruiting and interview coordination
• Verify caregiver schedules and hours for payroll and billing preparation
• Assist with operational workflow and office administration
• Participate in rotating on-call coverage as needed
• Attend weekly in-office meetings and operational check-ins
• Required to carry the company phone at all times during scheduled work hours and while on-call
• Must maintain prompt responsiveness to calls, texts, and operational communication related to caregiver staffing and client needs

Qualifications

• Previous healthcare, home care, scheduling, or administrative experience preferred
• Strong communication and customer service skills
• Excellent organizational and multitasking abilities
• Ability to work independently and remotely
• Comfortable using email, scheduling systems, and office software
• Reliable transportation for weekly office visits
• Professional, compassionate, and dependable attitude

Preferred Qualifications

• Home care or healthcare industry experience
• Leadership or management experience
• Experience coordinating caregiver schedules
• Ability to problem-solve in a fast-paced environment
