Operations Manager - Real Estate

OPERATIONS MANAGER
Real Estate | Rehab | Property Management
Full-Time | Hybrid/Remote (U.S. Eastern Hours)

This is not a VA role.

I run a Detroit-based real estate investment, rehab, and property management operation. I am rebuilding a lean, operator-driven business for 2026 and beyond. I need an Operations Manager to work directly with me and own the administrative and coordination engine behind deals, rehabs, and properties.

If you are strong at paperwork, follow-through, scheduling, compliance, and closing loops, this role fits. If you need constant direction or narrow task definitions, it does not.

WHAT YOU OWN (END-TO-END)

Transactions

  • Coordinate contracts, amendments, contingencies, and closings
  • Maintain complete, organized deal files
  • Chase missing documents and close open items

Rehab Operations

  • Admin-side rehab implementation and coordination
  • Coordinate contractors and vendors
  • Schedule inspections, trades, utilities, and site access
  • Maintain Buildertrend budgets, POs, invoices, photos, and documentation

Property & Compliance Administration

  • Start, stop, and transfer utilities
  • Handle city registrations, renewals, affidavits, and compliance tracking
  • Coordinate Section 8 and city inspections
  • Manage re-inspection loops until pass

Financial Process Coordination (Not Accounting)

  • Intake and organize invoices, bills, and receipts
  • Match work completed to POs and invoices
  • Submit clean packets to bookkeeping
  • Assemble and track lender draw packets

Systems & Data Integrity

  • Keep Asana, property management software, Pipedrive, and Drive accurate
  • Maintain folder structure, naming conventions, and SOP adherence

Execution & Follow-Through

  • Follow up with vendors, inspectors, utilities, and third parties
  • Resolve breakdowns and delays
  • Escalate only when blocked, with a proposed solution

WHAT THIS ROLE IS NOT

  • Not a virtual assistant
  • Not a sales role
  • Not a calendar or priority gatekeeper
  • Not a “wait for instructions” position

Once a task is assigned, you own it until it is done.

WHO THIS IS FOR

  • Background in real estate operations, property management, title, lending, or construction admin
  • Clear written communication and professional judgment
  • Highly organized and reliable
  • Comfortable dealing with vendors, inspectors, utilities, and government offices
  • Calm, direct, and not emotionally reactive
  • Accurate and confidential with financial and property data

SCHEDULE

  • Full-time, Monday–Friday
  • U.S. Eastern Time business hours

REPORTING

You report directly to me and work with me daily.

COMPENSATION

Competitive base. Increases tied to responsibility and performance.

This role exists to take work off my plate and keep it off.

Job Type: Full-time

Pay: $60,000.00 - $95,000.00 per year
