Role Overview:
We are a fast-growing real estate brokerage looking for a proactive, organised, and detail-oriented Operations Officer who will support the Managing Director in running the company efficiently. The ideal candidate should be someone who loves structure, takes ownership, and can ensure that daily operations, reporting, and coordination run smoothly—especially during the Managing Director's absence.
Key Responsibilities:
Administration & Operations Management:
· Oversee the daily operations of the company and ensure smooth workflow across departments.
· Handle and maintain company licenses, contracts, RERA/Trakheesi registrations, Ejari, and other regulatory documents.
· Coordinate with external partners (suppliers, service providers, government entities).
· Manage administrative budgets, petty cash, and operational expenses.
· Ensure the office environment is organised, well-maintained, and efficient.
· Handle Email correspondence, scheduling, and internal announcements.
Human Resource Management:
· Implement and monitor company policies and internal processes.
· Oversee employee onboarding, documentation, and offboarding.
· Prepare and maintain employment contracts, offer letters, and HR files.
· Manage attendance, leave records, payroll processing, and end-of-service calculations.
· Handle Visa and labour card issuance/renewals and ensure compliance with UAE labour law.
· Handle employee relations, grievances, and disciplinary actions.
· Support training coordination and employee engagement initiatives.
· Support in organising company events, meetings, and team activities
Reporting and Coordination:
· Serve as the communication bridge between the Managing Director and the sales team.
· Prepare daily and weekly operations reports for the Managing Director.
· Track agents' KPIs (Leads, calls, viewings, deals) using Excel or Google Sheets and follow up on their performance.
· Ensure listings are updated across portals (Property Finder and Bayut).
· Coordinate with the marketing team for social content, property campaigns, and online listings.
Qualifications:
· Bachelor's degree in Business, Operations, or Business Management.
· Minimum 2 years of experience in Office Management or Operations (Real Estate experience is preferred)
· Strong knowledge of UAE Labour Law, HR Policies and office administration.
· Fluent in English (Arabic and other languages are a plus).
· Strong knowledge and experience with Microsoft Office and Google Workspace.
· Excellent organisational, leadership and multitasking skills.
· Reliable, discreet, and adaptable in a fast-paced environment.
