Operations & Procurement Specialist

Job Title: Operations & Procurement Specialist (Advertising & Production)

Job Summary:
We are a leading Advertising & Designing Agency in Abu Dhabi specializing in printing, signage, corporate giveaways, uniforms, events, exhibition stands, interiors, and fit-out works.

We are looking for an experienced Operations & Procurement Specialist to manage end-to-end procurement and operational coordination, ensuring timely sourcing, vendor management, cost control, and smooth project execution.

Key Responsibilities:

  • Source and manage suppliers/vendors for the company works.
  • Obtain 3 quotations, prepare comparison sheets, and negotiate best pricing and delivery terms.
  • Coordinate for samples, approvals, and production follow-ups.
  • Prepare and process LPOs (Local Purchase Orders) and maintain proper procurement documentation.
  • Follow up with vendors until timely delivery and completion of orders in good condition.
  • Coordinate with sales team, design team, and project team for smooth job execution.
  • Conduct supplier visits, site visits, and field coordination as required.
  • Ensure quality checking of materials/products before delivery or installation.
  • Should be involved in on time site deliveries and installations.
  • Prepare and submit all required documents for permits and approvals such as Municipality, Building Management, Maintenance Departments, etc.
  • Maintain supplier database, quotation records, invoices, delivery notes, and procurement reports.
  • Track and follow up vendor payments and maintain proper coordination with accounts/finance.
  • Build and maintain strong vendor relationships within UAE and outside UAE if required.
  • Handle multiple urgent projects under tight deadlines.

Requirements:

  • Minimum 2–5 years UAE experience in procurement/operations.
  • Experience in Advertising / Printing / Signage / Events / Exhibition / Fit-Out sector is highly preferred.
  • Strong knowledge of UAE supplier market and vendor network.
  • Excellent negotiation and cost control skills.
  • Must be able to handle multiple tasks and work under pressure.
  • Must have a valid UAE Driving.
  • Good knowledge of computer software such as MS Office (Excel, Word), email communication, and procurement documentation.
  • Knowledge of ERP/Accounting systems is a plus.
  • Excellent communication skills in English.
  • Candidates currently available in UAE preferred.
  • Immediate joiners preferred.
