What You’ll Do

As an Operations Support Specialist at Bader Law, you will serve dynamic, cross-functional role designed to provide hands-on support across key operational areas at Bader Law Firm, including Reception, Mailroom, Facilities, and IT/Logistics. This position plays a critical role in maintaining service continuity, improving internal efficiency, and supporting the firm’s long-term operational goals. The ideal candidate is adaptable, detail-oriented, and committed to delivering high-quality internal service.Welcome and check in clients and visitors for scheduled appointments or meetings.

Reception & Administrative Support:

• Provide backup coverage for front desk operations, including greeting clients and answering phones.
• Retrieve and deliver checks from Reception to Accounting throughout the day.
• Assist with scheduling, scanning, and document routing as needed.

Mailroom Operations:

• Receive, sort, and distribute incoming USPS, FedEx, and UPS mail daily.
• Prepare outgoing mail and assist with high-volume scanning and printing tasks.
• Print Letters of Representation (LORs), provider checks, and other legal documents.
• Scan Workers’ Compensation (WC) and Personal Injury (PI) mail to virtual assistants.
• Maintain daily mail count logs and organize mail by department.
• Manage postage supplies and maintain postage label records.

Facilities & IT Support:

• Monitor and restock supplies across operational floors and client-facing areas.
• Assist with light facilities tasks such as tidying shared spaces and checking supply closets.
• Shadow and cross-train with Facilities/IT lead to ensure knowledge continuity.
• Reset employee access credentials and assist with basic IT troubleshooting.
• Install/uninstall applications requiring administrative credentials.
• Support maintenance and minor repairs of printers and scanners.

What We’re Looking For

We are seeking a highly skilled and dedicated individual with the following qualifications:

• 
  High school diploma or equivalent required; associate degree preferred.
• Bilingual (English/Spanish) strongly preferred.
• Prior experience in administrative, mailroom, or facilities support roles is a plus.
• Strong organizational and multitasking skills.
• Basic technical proficiency and willingness to learn IT support tasks.
• Excellent communication and customer service skills.
