Lead Administrator & Ophthalmic Surgery Coordinator

As the Lead Administrator, you will be responsible for overseeing general protocols, tasks, and providing effective oversight of clinic operations. You will work closely with the practice manager to assess the practice at large and make necessary changes. You will also play a crucial role in maintaining high standards of excellence in patient care and employee performance.

As a Surgery Coordinator, your primary focus will be on scheduling patients, counseling them about their surgery, and managing the necessary documentation. The responsibilities listed below should be seen in the context of these primary responsibilities, ensuring the highest quality of care and exceptional patient experience throughout the surgical process.

Lead Administrator Responsibilities

  • Uphold cleanliness and appearance standards of the practice at all clinics.
  • Delegate practice tasks to appropriate personnel and verify their completion.
  • De-escalate patient issues within your ability and escalate larger issues to higher management.
  • Monitor employee interactions and hold them accountable for their work and actions.
  • Enforce improvement trajectory for underperforming employees.
  • Monitor and optimize clinic schedules to avoid overbooking and mis-scheduling.
  • Maintain clinic flow and troubleshoot any issues that may arise.
  • Conduct staff debriefings to address challenges and suggest preventive measures.
  • Maintain constant communication with the practice manager regarding the aforementioned.
  • Preliminarily Interview potential candidates for open positions within the practice and collaborate with the practice manager during final interviews.

Oversight

  • Monitor employee interactions for current and potential issues.
  • Hold employees accountable for adhering to company rules and guidelines.
  • Monitor gaps in employee performance where further training may be necessary.
  • Escalate serious situations to higher management for assistance.

Training

  • Create training schedules for new hires.
  • Provide administrative task training for admin new employees.
  • Convey Summit Eye goals, protocols, and expectations to new employees.
  • Delegate technician task training to experienced technicians.
  • Oversee the training of clinic personnel and ensure consistency and adherence to scheduled training sessions.

Surgery Coordinator Responsibilities:

  • Welcome patients and visitors with a positive and warm disposition, ensuring they feel comfortable and cared for.
  • Maintain a rapport with patients, providing support and answering any questions they may have throughout their surgical journey.
  • Obtain necessary patient information for scheduling procedures accurately and efficiently.
  • Document findings and scheduling information within the practice management system, ensuring accurate records are maintained.
  • Ensure that surgical schedules are properly maintained, coordinating with the surgery center and referring practices as necessary.
  • Communicate effectively with the surgery center and referring practices to facilitate a seamless surgical process.
  • Provide the surgery center with the required information for each surgical case, ensuring all documentation is complete and accurate.
  • Confirm surgery details with patients over the phone, addressing any concerns or questions they may have.
  • Transfer patient information between electronic health record (EHR) systems, maintaining data integrity and accessibility.
  • Assist with various tasks related to the completion of surgical paperwork, ensuring all necessary documentation is accurate and completed in a timely manner.

Qualifications:

  • High School Diploma or GED required.
  • Previous experience in ophthalmology REQUIRED.
  • COA or COT certification is a plus.
  • Detail-oriented and able to multitask in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Strong problem-solving and organizational abilities.
  • Ability to work collaboratively as part of a team.
  • Willingness to travel to different clinic locations regularly.

Schedule:

  • Full-time position.
  • Travel to each of our locations about 2x/week for clinics. (Required)

  • Shifts may include 8-10 hours/day, but will generally not exceed 40 hours/week..

Job Type: Full-time

Pay: $30.00 - $35.00 per hour

Expected hours: No more than 40 per week
