Optometric Assistant

At Makana Vision, we use our gifts to take care of our patients’ gift of vision. We are a fast-paced, patient-centered practice serving the Kaimuki community, and we’re looking for someone who takes pride in doing things the right way—not the easy way.
This role is ideal for someone who enjoys both people and process: helping patients feel confident in their eyewear while also keeping operations accurate, organized, and complete.
We are happy to train the right person—but we are not a passive environment. We value ownership, follow-through, and clear communication.
What You’ll Be Responsible For:
Patient Experience & Optical Sales
  • Guide patients in selecting frames and lenses that fit their lifestyle, prescription, and budget
  • Clearly explain lens options, pricing, and insurance benefits
  • Own the handoff from doctor to optical—ensure patients feel confident before checkout
  • Complete accurate checkouts, collect payments, and finalize orders
Order & Inventory Management:
  • Order contact lenses and glasses accurately and promptly
  • Track all spectacle and contact lens orders from start to completion
  • Check in and inspect eyewear upon arrival
  • Monitor and maintain organized inventory (frames, contacts, supplies)
Front-End Accuracy & Insurance:
  • Verify vision and medical insurance eligibility, copays, and authorizations
  • Ensure all required documentation is complete before patient checkout
  • Support accurate billing by confirming correct entries in the system
Clinical & Administrative Support:
  • Prep charts, scan documents, and ensure patient records are complete
  • Assist with pre-testing flow when needed
  • Scan and organize invoices and vendor documents
Daily Close:
  • Complete end-of-day financial and operational close
  • Confirm all payments are collected and orders are properly entered
  • Resolve any outstanding issues before leaving
What Success Looks Like in This Role:
  • Orders are accurate, tracked, and never “lost” or delayed
  • Patients feel guided—not confused—during the optical process
  • Insurance and payments are handled correctly the first time
  • Tasks are completed fully without needing reminders
  • Communication is proactive: you flag issues early, not after the fact

  • Highly organized and detail-oriented—you catch what others miss
  • Comfortable with both structure and a fast-paced environment
  • Clear and professional communicator with patients and team
  • Takes ownership of responsibilities instead of waiting to be told
  • Positive, solution-oriented, and reliable
Experience:
  • Customer service experience required
  • Administrative experience preferred
  • Optical, medical, sales, or billing experience is a plus (but not required—we will train the right person)
