The W.F. Young team is seeking an Order Management Specialist who is responsible for executing and managing the end‑to‑end order fulfillment process to ensure accurate, timely, and compliant delivery of customer orders. This role serves as a key operational link between customers, internal teams, and third‑party logistics partners, supporting high service levels and adherence to customer, transportation, and compliance requirements.
Key Responsibilities:
Order Processing
- Accurately enter, review, and confirm customer orders in the ERP (Acumatica) system.
- Validate pricing, product availability, lead times, and delivery dates prior to order confirmation.
- Manage order changes, cancellations, and exceptions in accordance with company and customer policies.
- Ensure order accuracy to support on‑time, in‑full (OTIF) performance.
EDI Order Management
- Monitor and process orders and transactions received via Electronic Data Interchange (EDI).
- Ensure EDI transactions are accurate, complete, and integrated properly into the ERP system.
- Troubleshoot and resolve EDI-related errors or discrepancies in collaboration with IT, customers, and trading partners.
- Partner with the Order Management Supervisor to support expanded use of EDI by providing feedback on transaction quality and process gaps.
Order Tracking & Communication
- Monitor order status and proactively communicate order confirmations, delays, shortages, or issues to customers and internal stakeholders.
- Resolve discrepancies or issues related to orders, shipments, or invoicing.
Coordination & Collaboration
- Work closely with Customer Service, Supply Chain, and Logistics/Distribution teams to ensure timely fulfillment.
- Coordinate with warehouse and 3PL partners to ensure orders are shipped per customer and routing requirements.
- Apply routing guides and transportation instructions as defined by Supply Chain or Logistics.
Documentation & Compliance
- Execute orders in accordance with customer‑specific requirements (routing, labelling, documentation, delivery windows).
- Ensure ERP (Acumatica) and support system data integrity to support reporting and analysis.
- Maintain customer compliance documentation and requirements.
- Retain accurate records of orders, changes, and customer communications.
- Support chargeback prevention efforts through accurate execution and documentation.
- Maintain compliance with company policies, contractual terms, and regulatory requirements.
- Identify and escalate potential non‑compliance risks to the Order Management Supervisor.
Continuous Improvement
- Support cross‑training and documentation to provide coverage and redundancy.
- Assist with initiatives to improve customer experience and streamline workflows.
- Participate in process improvement initiatives related to order management, EDI, compliance, and fulfillment.
Key Qualifications:
- High school diploma or equivalent required; post‑secondary coursework or an associate degree in business, logistics, supply chain, or a related field preferred.
- Experience in order management, customer service, or a related supply chain or operations function preferred.
- Proficiency with ERP systems and Microsoft Office applications.
- Experience with Electronic Data Interchange (EDI) systems and order processing workflows strongly preferred.
- Strong attention to detail with the ability to accurately manage order data, documentation, and compliance requirements.
- Effective written and verbal communication skills with internal teams, customers, and external partners.
- Strong organizational and time‑management skills with the ability to manage multiple priorities.
- Demonstrated problem‑solving skills and the ability to proactively identify and resolve issues.
- Ability to work collaboratively in a cross‑functional, fast‑paced environment.

Pay: $54,700.00 - $62,800.00 per year
