Schedule: Monday to Friday from 7 a.m. to 3.30 p.m.

Job Description

We are seeking a reliable and detail-oriented Out of State Dispatch Coordinator to manage daily scheduling and communication with clients and showrooms.

A. BEFORE SALES: QUOTES

• Providing quotes with email follow-up to salespersons and showroom managers Always get several quotes. Options to different warehouses: New Jersey, Miami, Montreal, San Francisco, Seattle White glove deliveries and curbside deliveries
• In case of vacation / time off: send to direct manager all pending quote requests

B. GOALS

• After receiving an email: 48h to respond
• Quote production: 96h
• Be as proactive as possible to get several options
• Always keep sales team in the loop
• Think out of the box (think of all options)
• Make our clients happy
• Always keep calm even when the situation with the client becomes complicated Solution finder
• Contacting clients prior container arrival
• Update portfolio

C. OUT OF STATE DELIVERIS

• Coordinating with warehouse team for palettizing orders
• Coordinating with showroom to ensure that balances are taken and confirm
• delivery address
• Coordinating with delivery companies and ensure that proofs of delivery and
• pictures are received
• Validating out-of-state deliveries in Ecolix
• Sending DV (delivery voucher) with proper box count and container information
• Communicating ETA’s of delivery with clients as well as sales team
• Updating Dispatch system with carrier information
• Preparing shipments with UPS and Fed Ex
• Preparing shipping quotes with a 72-96hr time-frame
• Any other tasks assigned by management

D. OUT OF STATE DELIVERIES

• Coordinating with other warehouses when pieces are arriving in other warehouses (Miami, New Jersey, San Francisco, Seattle/Portland)
• Sending DV (delivery voucher) with proper box count and container information
• Validating out-of-state deliveries in Ecolix

REQUIRED SKILLS

• Highly motivated and detailed oriented
• Great organizational abilities
• Great teamwork as well as ability to work independently as instructed
• Microsoft Office Suite and Google Suite
• Ability to work with Microsoft Office, Excel, Power-point, and good computer skills

Pay: $21.00 - $23.00 per hour
